About Us
At Near, we help top talent in Latin America find remote roles with US companies. Our mission is to create better lives by fostering a remote work culture that transcends borders.
About Our Client
Our client is a bookkeeping and payroll firm based on the California Central Coast. The company has a manager and a team of 12 bookkeepers, and it is growing its offshore team and integrating AI into its operations.
About the Role
We are looking for a Senior Executive Assistant to support the company’s Operations Manager, who leads the entire team and is its main technical expert. This is the first time the company is hiring a dedicated assistant for this position, so the role offers a lot of room to shape how it works.
The role goes beyond traditional admin work. The ideal candidate acts as a strategic partner and “second brain” for the manager: managing her calendar and tasks, keeping her focused on what moves the company forward, and protecting her time by serving as the first point of contact for the team’s day-to-day questions.
The ideal candidate is intelligent, resilient, and independent, with strong problem-solving skills and the ability to operate without much guidance. Previous experience as an executive assistant is valued, but the right mindset matters just as much.
Responsibilities
- Manage the manager’s calendar, scheduling, and day-to-day priorities.
- Manage and track the manager’s tasks, keeping her focused on the initiatives that matter most to the company.
- Act as a buffer between the manager and the team of 12 bookkeepers, answering routine questions and helping resolve issues without escalating them whenever possible.
- Answer team questions about company-wide policies and new initiatives, including policies related to the offshore team and the use of AI.
- Lead and run internal meetings, and follow up on action items and tasks.
- Communicate priorities and keep the team aligned.
- Identify opportunities to improve processes and bring structure to the manager’s workload.
What We’re Looking For
- Strong spoken and written English (accent is not an issue).
- Experience as an Executive Assistant supporting C-level executives or senior managers.
- Proven problem-solving skills and the ability to work independently without constant guidance.
- Strong organizational and time management skills, with exceptional attention to detail.
- Excellent communication and interpersonal skills, with the ability to coordinate and follow up with multiple team members.
- Proficiency in Google Workspace (email and calendar management) and Microsoft Office.
- Familiarity with QuickBooks Online (QBO).
- Availability to work Pacific Time hours, Monday–Friday, 8:30 AM – 5:00 PM PT.
Nice to Have:
- Experience in accounting, bookkeeping, or financial services environments.
- Experience with AI tools and offshore or remote team environments.
Perks – What’s in It for You?
- Compensation: $2,500 – $3,000 USD per month.
- Fully remote opportunity.
- Paid time off following the standard in the candidate’s home country.
- Opportunity to become a key strategic partner in a growing company, with real influence on how the team operates.
