About our client
This role is with our client, a group of three related U.S. businesses spanning pet eye care, human eye care, and manufacturing. They sell through e-commerce, Amazon, wholesale, and veterinary partnerships.

About the role:
Our client is seeking a hands-on Bookkeeper & Financial Analyst to own day-to-day bookkeeping across the three businesses and help turn financial information into clear business insights. The first priority is accurate, reliable books: this person will personally handle the daily accounting work, reconciliations, and month-end close, and will also support budgeting, cash-flow forecasting, and profitability analysis. The role reports directly to the owner and works closely with the operations team, the external CPA, and the Datarails implementation team.

Responsibilities:

• Manage day-to-day bookkeeping in QuickBooks for three related companies.
• Reconcile bank accounts, credit cards, payment processors, and marketplace settlements (e.g., Amazon).
• Maintain accounts payable and receivable, track outstanding balances, and prepare payments for approval.
• Maintain accruals, prepaid expenses, and supporting schedules for accurate monthly reporting.
• Reconcile intercompany transactions and balances.
• Work with operations and the CPA to maintain accurate inventory and COGS accounting.
• Review account classifications, identify discrepancies, and improve bookkeeping processes.
• Own the monthly close checklist and prepare timely financial reports.
• Support the Datarails implementation and ongoing reporting, ensuring reports reconcile to QuickBooks.
• Maintain a cash-flow forecast and highlight upcoming cash needs.
• Track performance against budget and explain meaningful variances.
• Analyze revenue, margins, and expenses by company, product, and sales channel.
• Provide the owner with concise financial updates, highlighting issues and opportunities.
• Coordinate with the external CPA on year-end schedules and accounting questions.

Requirements:

Must-Haves:

• 3+ years of hands-on bookkeeping or accounting experience, including ownership of reconciliations and month-end close.
• Strong QuickBooks experience, preferably supporting U.S. businesses.
• Practical understanding of accrual accounting and financial statements.
• Strong Excel skills (pivot tables, lookup functions, financial reporting).
• Experience preparing financial reports and explaining results to non-accountants.
• Bachelor’s degree in Accounting, Finance, or a related field, or equivalent experience.
• Fluent written and spoken English.
• Strong attention to detail, ownership, and follow-through.
• Strong internet connection, quality camera and microphone.
• Based in a western Latin American time zone (ideally aligned with U.S. Central Time), with consistent availability during U.S. business hours and meaningful overlap with Pacific Time.

Nice-to-Haves:

• Experience with e-commerce, Amazon, Shopify, or other multichannel product businesses.
• Inventory accounting and COGS reconciliation.
• Bookkeeping for multiple related entities and intercompany transactions.
• Cash-flow forecasting, budgeting, and profitability analysis.
• Experience with Datarails or a similar financial reporting platform.

What success looks like in the first 90 days:

• Understand the books and workflows of all three companies and identify priority improvements.
• Resolve agreed bookkeeping issues with support from the CPA.
• Establish a documented, reliable month-end close process.
• Deliver financial reports that reconcile to QuickBooks.
• Maintain a practical cash-flow forecast.
• Provide clear monthly commentary on what changed, why it matters, and what needs attention.

Hiring process: Includes a short practical assessment using sample accounting data.

Working Hours: Full Time, U.S. business hours with meaningful overlap with Pacific Time.
