Our client is a conscious leadership coaching, speaking, and executive advisory practice serving CEOs, founders, and C-suite leaders. The founder is a keynote speaker, author, and host of a podcast. The business is growing, and we need a highly organized partner to keep operations, projects, and outreach moving forward.
About the Role
We are seeking one experienced professional to serve as both project manager and executive assistant. This person will be Debra's right hand, owning priorities, deadlines, and follow-through so she can focus on clients, speaking, and business development. This is a client-facing position. You will interact directly with CEOs and founders, representing Sunderland Coaching with confidence and professionalism. Over time, this role will also oversee a marketing assistant responsible for LinkedIn outreach and content.
You Will
Manage and protect the executive’s calendar and inbox.
Coordinate recurring client meetings, including scheduling multi-month or annual meeting cadences.
Conduct brief scheduling coordination calls with clients and communicate professionally in English.
Monitor Stripe payments and confirm monthly invoicing/payment status.
Draft, edit, and organize client proposals using Google Workspace and GoHighLevel.
Send IEQ9 leadership assessment links to clients as needed.
Maintain daily task and hour logs.
Provide end-of-day updates on completed work, hours used, and outstanding items.
Support LinkedIn and social media activity, including engagement and basic content coordination.
Learn the executive’s voice, business, website, newsletters, and existing processes.
Follow documented SOPs and support a smooth transition from the existing team.
About You
Your Background
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar client-facing support role.
Strong written and spoken English.
Experience managing calendars, inboxes, client scheduling, and business communications.
Comfortable coordinating with senior leaders, CEOs, founders, and executive-level clients.
Strong editing and writing skills for emails, proposals, and client-facing materials.
Experience using Google Workspace, calendar tools, and payment platforms.
Social media or LinkedIn support experience.
Highly organized, responsive, and detail-oriented.
Proactive communicator who asks questions rather than making assumptions.
Able to manage multiple priorities while maintaining confidentiality and professionalism.
Nice to Have
Experience supporting a coach, consultant, agency, or professional services business.
Familiarity with GoHighLevel, Stripe, and IEQ9.
Basic marketing or project coordination experience.
Familiarity with ChatGPT, Claude, or other AI tools, with sound judgment around brand voice and accuracy.
Interest in growing into a marketing or project-management-oriented role over time.
Compensation & Benefits
Compensation: $2,500 - $3,000 USD/month.
Benefits: 14 paid days off per year.
