Note: This is a remote, contractor role.
About the Role:
Our client is looking for a highly organized and resourceful Business Operations Coordinator to help keep our company running smoothly.
You’ll own a mix of travel coordination, event logistics, people-operations administration, documentation, vendor coordination, and light executive support. Initially, a significant portion of the role will involve booking and managing company travel.
This is a hands-on execution role. You should enjoy bringing order to complicated situations, keeping track of details, following through without repeated reminders, and finding better ways to handle recurring work.
You’ll report to our VP of Operations and work with leaders and employees across the company.
Key Responsibilities:
Travel and Events
Book flights, hotels, ground transportation, and other company travel
Build clear, complete itineraries
Organize company offsites and leadership meetings
Prepare and send offer letters, NDAs, and employment paperwork
Coordinate onboarding and offboarding logistics
Ensure equipment and welcome kits arrive on time
Maintain onboarding and offboarding checklists
Keep employee information and administrative records organized
Organize and maintain the company’s SOP repository
Turn existing processes, notes, and Loom videos into clear documentation
Create reusable templates and checklists
Make information easy for employees to find
Periodically review documentation and ensure it remains current
Own recurring operational calendars and checklists
Improve repetitive internal processes
Coordinate cross-functional operational projects
Help implement and roll out new internal tools
Identify tasks that can be simplified, standardized, or automated
Follow up with owners and make sure operational tasks are completed
Coordinate with company vendors
Research vendors and obtain quotes
Track operational contracts and renewals
Order employee equipment and company swag
Coordinate vendors for offsites and events
Help with occasional scheduling
Light inbox triage for founders
Track and follow up on action items
What We’re Looking For:
At least 3 years of experience in operations coordination, administrative operations, executive assistance, people operations, travel coordination, or a similar role
Experience booking multi-leg travel and managing itinerary changes
Strong written and spoken English
Experience creating SOPs, checklists, trackers, or other operational documentation
Proficiency with Google Workspace and modern project-management or documentation tools
Availability for substantial overlap with U.S. Eastern Time
Ability to occasionally respond to time-sensitive travel issues outside standard working hours
