We’re looking for a Financial & HR Administration Manager who combines technical mastery with grit and confidence. You’ll manage U.S./international payroll, financial account reconciliations, receivables/payables, and staff onboarding across platforms, and collaborate with finance, communications, and leadership teams to create seamless operational workflows. This role requires someone who is proactive, detail-oriented, and solution-oriented, takes initiative in the face of ambiguity, and delivers high-quality results even when challenges arise.
You Will:
Manage Accounts Receivable and prepare all U.S. banking transactions for Accounts Payable (Financial Administration: 35%).
Manage reporting, invoicing, collection, and accounting of checkoff and membership contributions (Membership Administration: 25%).
Manage and process payroll, monthly benefit payments, PEO/EOR relationships, staff leave, and U.S. benefit administration (HR Administration: 25%).
Contribute to employee engagement and culture-building through internal communications, team activities, and resources (Employee Engagement & Culture: 15%).
Develop and maintain positive relationships with banks, insurers, vendors, and customers.
Leverage modern remote workflows and AI-driven tools to optimize administrative operations.
About You:
Your Background:
Bachelor of Science degree in accounting or a related field.
5+ years of experience in U.S. accounting, nonprofit financial administration, and/or business management.
Hands-on experience in U.S. payroll, benefits, banking, and financial reporting, with a background in international payroll and PEO/EOR platforms (like Deel).
Strong understanding of U.S. GAAP, nonprofit accounting principles, and banking regulations.
Excellent communication skills — comfortable in a distributed, English-speaking environment, with professional proficiency in Spanish strongly preferred.
Self-motivated, proactive, detail-oriented, and emotionally mature — you take ownership of outcomes.
Able to thrive under stress, adapt to changing circumstances, and manage complex, ambiguous situations.
Nice to Have:
Experience with Acumatica, Sage, or QuickBooks.
Experience working with DonorPerfect or similar donation management platforms.
Proven ability to manage administrative tasks and SaaS platform user configurations (e.g., Built for Teams, KnowBe4, IT Helpdesk).
