Personal Assistant to the CEO

Our client is a Boston-based executive transportation and global mobility company serving corporate travelers, private aviation operators, luxury hospitality groups, and high-profile events. The company combines an established market presence with a growth-minded, fast-paced operating culture.
We are seeking a highly discreet, organized, and proactive Personal Assistant to provide dedicated support to the CEO. This role will focus on personal scheduling, travel logistics, lifestyle coordination, and high-touch requests that require exceptional follow-through, confidentiality, and attention to detail.
The ideal candidate is polished, warm, resourceful, and highly structured. You should be comfortable managing sensitive information, anticipating needs, coordinating complex plans, and communicating directly and clearly with the CEO, external partners, and service providers.
Manage the CEO’s personal calendar, appointments, reminders, and scheduling changes.
Coordinate personal and business travel arrangements, including flights, hotels, ground transportation, itineraries, and related logistics.
Liaise with security personnel, chauffeurs, hotels, vendors, and other service providers to ensure arrangements are accurate and seamless.
Support personal event planning, reservations, research, gifting, and lifestyle-related requests.
Handle sensitive information and communications with complete discretion and professionalism.
Research options, compare services and pricing, and present clear recommendations for approval.
Track reservations, confirmations, deadlines, expenses, and follow-up items to ensure nothing is missed.
Anticipate needs, identify potential issues early, and proactively resolve them whenever possible.
Maintain organized records, documents, contact lists, and task trackers.
Provide concise updates on priorities, progress, and any items requiring the CEO’s attention.
Advanced English communication skills, with the ability to communicate confidently and professionally with U.S.-based executives, vendors, hotels, and service providers.
2+ years of experience as a Personal Assistant, Executive Assistant, Lifestyle Assistant, Concierge, or in a high-touch administrative support role.
Demonstrated ability to handle confidential information with discretion, maturity, and sound judgment.
Strong organizational and prioritization skills, with the ability to manage multiple time-sensitive requests without losing attention to detail.
A proactive, polished, and service-oriented approach, with the ability to work independently and communicate directly and clearly.
Experience supporting a CEO, founder, entrepreneur, high-net-worth individual, or senior executive.
Experience coordinating complex travel, luxury hospitality, concierge services, private events, or security-related logistics.
Familiarity with calendar management, travel booking tools, expense tracking, and task-management platforms.
Experience working remotely with U.S.-based executives or service providers.
Salary: USD 1,100–1,500 per month, depending on seniority and relevant experience.
100% remote contractor role.
Paid Time Off: 10 paid days off per year, plus U.S. federal holidays.
Schedule: Full-time availability preferred, Monday through Friday, approximately 8 hours per day in U.S. Eastern Time. Flexibility may be required for occasional time-sensitive travel or scheduling needs.
