Our client is a small company with a team of contractors and executives who value proactive support, organization, and getting things done efficiently.
They are looking for an Executive Assistant to support two executives and help them stay organized, manage priorities, and keep day-to-day operations moving smoothly.
The Executive Assistant will provide day-to-day support to two executives, managing their calendars and inboxes, coordinating meetings, handling follow-ups, arranging travel, and keeping important files and contracts organized.
This role requires someone who can work independently and take ownership with minimal supervision. The ideal candidate will anticipate what is needed, manage competing priorities, and make sure tasks and follow-ups do not fall through the cracks.
Microsoft 365 and Outlook experience are required from day one. Experience with HubSpot and LinkedIn is a plus, but training will be provided.
• Provide proactive, day-to-day EA support to two executives, including complex calendar and diary management
• Act as the right hand to two executives, anticipating needs and managing priorities on their behalf
• Coordinate internal and external meetings, appointments, calls, and team events, managing logistics end to end
• Ensure executives are properly briefed before meetings
• Capture key meeting notes and actions, and follow up to ensure they are completed
• Manage executive inboxes, prioritize emails, and draft follow-ups and next steps on their behalf
• Send timely follow-ups on behalf of the executives
• Arrange and book travel and prepare detailed itineraries where required
• Prepare, adjust, send, and file executed agreements and contracts, including NDAs
• Maintain organized, up-to-date records and key files in SharePoint
• Maintain the CRM
• Use LinkedIn to send messages on behalf of the executives, with training provided
• Identify opportunities to improve processes and drive adoption of new technology and better ways of working
• Support additional ad hoc administrative tasks as needed
• 3–5 years of experience as an Executive Assistant
• Proven experience supporting and working directly with senior executives
• Excellent communication skills, with fluent written and spoken English
• Strong calendar and diary management experience, including handling complex and shifting schedules across multiple stakeholders
• Ability to work independently and proactively, taking ownership of tasks with minimal supervision
• Comfortable acting as the right hand to two executives and balancing competing priorities across both
• Proficiency with Microsoft 365 and Outlook is required
• Exceptional organizational skills and ability to manage a high volume of competing priorities
• Strong attention to detail and ability to work accurately under pressure
• Availability to work during U.S. Central Time business hours
• Willingness to adjust meetings and schedules as needed to support the executives
• Experience with HubSpot

• Experience working with CRMs
• Experience handling contracts and agreements
• $2,500 USD per month
