Our client is the management services organization supporting Manhattan Mental Health Counseling (MMHC), a fully online psychotherapy practice serving clients across New York State.
MMHC supports a growing network of 100+ clinicians and is building the operational infrastructure needed to scale its team and services while maintaining a high level of support, responsiveness, and operational quality.
Overview
The Operations & Project Associate will support the day-to-day execution and continuous improvement of the organization’s operations.
This role sits across teams and helps ensure that processes are clearly defined, projects stay on track, operational issues are identified and addressed, and commitments do not fall through the cracks. The ideal candidate is highly organized, analytical, proactive, and comfortable working across multiple departments and systems.
You will work closely with operational leaders and cross-functional teams to identify gaps, investigate root causes, improve processes, maintain documentation, and support projects from planning through completion.
Responsibilities:
Operations & Process Improvement
Review existing workflows and identify inefficiencies, gaps, and recurring operational issues.
Help design, document, and implement SOPs, processes, checklists, and knowledge-management resources.
Investigate operational problems and identify root causes rather than simply addressing individual symptoms.
Track process changes and follow through to ensure improvements are implemented and sustained.
Identify opportunities to use automation and technology to reduce manual work and improve consistency.
Project Coordination
Coordinate cross-functional projects from planning through execution and completion.
Track deadlines, deliverables, dependencies, risks, and outstanding commitments.
Follow up with stakeholders to ensure projects remain on schedule and issues are escalated when needed.
Support project planning, prioritization, and execution across multiple departments.
Operational Monitoring & Reporting
Monitor dashboards, reports, and operational metrics to identify performance gaps or emerging issues.
Surface trends such as clinician performance concerns, billing issues, automation errors, missing documentation, or other process failures.
Route issues to the appropriate leader or department and track them through resolution.
Help maintain visibility into recurring problems, open items, and operational priorities.
Cross-Functional Collaboration
Work across clinical, revenue cycle, front-office, and other operational functions.
Serve as a connector between teams, systems, vendors, and stakeholders.
Coordinate information and follow-ups across departments while respecting ownership and decision-making boundaries.
Support operational changes resulting from business growth, new workflows, or state-specific requirements.
Requirements
3+ years of experience in operations, project coordination, business operations, or a similar role.
Strong project management and organizational skills.
Experience improving processes, documenting workflows, or implementing SOPs.
Strong analytical and problem-solving skills, including root-cause analysis.
Experience tracking metrics, dashboards, projects, or operational performance.
Excellent follow-through and ability to manage multiple priorities.
Strong communication and cross-functional collaboration skills.
Comfortable working independently in a fast-paced, growing environment.
Experience in healthcare or healthcare operations.
Experience working with US-based healthcare organizations or HIPAA-regulated environments.
Experience in mental health, telehealth, or other provider-based organizations.
Experience with automation, workflow tools, dashboards, or AI-enabled processes.
Experience in FinTech or another highly regulated industry with strong operational processes.
