Our client is the management services organization supporting Manhattan Mental Health Counseling (MMHC), a fully online psychotherapy practice serving clients across New York State.
MMHC supports a growing network of 100+ clinicians and is building the operational infrastructure needed to scale its team and services while maintaining a high level of support, responsiveness, and operational quality.
Overview
The Chief Operating Officer will be responsible for building a more accountable, scalable, and data-driven operating model across the organization.
This is a hands-on executive role for an experienced healthcare operator who can bring structure to a growing organization, turn reactive processes into repeatable systems, and ensure teams consistently execute against clear expectations.
The COO will partner closely with the CEO and leadership team to improve operational performance, strengthen accountability, optimize workflows, and build the organizational infrastructure required for continued growth.
Responsibilities:
Operational Leadership & Accountability
Own the organization’s overall operational performance and execution.
Establish clear accountability, ownership, priorities, and performance expectations across teams.
Identify operational bottlenecks and ensure issues are addressed rather than repeatedly managed as exceptions.
Build a culture of proactive problem-solving, follow-through, and continuous improvement.
Develop and monitor operational KPIs to ensure leadership has clear visibility into performance.
Healthcare Operations & Growth
Build scalable operational structures to support the current clinician network and future growth.
Design workflows and staffing models that support expansion into additional states and services.
Partner with clinical leadership to ensure operational processes effectively support clinicians and patient care.
Identify operational risks and requirements associated with growth, regulatory changes, and new markets.
Help leadership make informed decisions around capacity, resources, and organizational priorities.
Revenue Cycle & Financial Operations
Improve the efficiency and reliability of revenue cycle and billing operations.
Identify manual processes, workflow gaps, and opportunities for automation.
Reduce preventable revenue leakage and improve operational visibility into billing performance.
Partner with finance and operational teams to establish appropriate metrics and accountability.
Identify opportunities to improve resource allocation and operational efficiency.
Organization & Team Leadership
Evaluate organizational structure, roles, responsibilities, and team capacity as the company grows.
Coach and develop operational leaders and ensure teams have the tools and clarity needed to perform effectively.
Establish appropriate performance-management processes and address persistent performance gaps.
Help determine where additional resources, leadership, or process changes are needed.
Build teams and operating structures that can scale without creating unnecessary administrative overhead.
Systems, Processes & Technology
Establish scalable SOPs, workflows, and operating standards across the organization.
Drive adoption of technology, automation, and data-driven processes where they can meaningfully improve efficiency.
Partner with technology leadership to ensure operational needs are clearly translated into systems and workflows.
Create visibility into operational performance through dashboards, reporting, and consistent metrics.
Continuously evaluate processes and systems to identify opportunities for improvement.
Cross-Functional Leadership
Work closely with clinical, revenue cycle, People Operations, technology, and other functional leaders.
Coordinate initiatives that require multiple departments to execute successfully.
Ensure organizational changes are communicated clearly and implemented consistently.
Serve as a strategic and operational partner to the CEO and executive leadership team.
Requirements
8+ years of progressive operations leadership experience, including senior leadership responsibility.
Strong healthcare operations experience, ideally within a provider, behavioral health, telehealth, or similar organization.
Proven experience scaling operations in a growing organization.
Strong understanding of revenue cycle, billing operations, and operational efficiency.
Demonstrated experience building processes, accountability structures, and performance-management systems.
Strong financial and business acumen with the ability to connect operational decisions to business outcomes.
Experience leading and developing cross-functional teams.
Strong analytical, problem-solving, and decision-making skills.
Excellent executive communication and stakeholder-management skills.
Experience in behavioral health, mental health, or telehealth.
Experience supporting a distributed clinician or provider workforce.
Experience with multi-state healthcare operations and expansion.
Experience implementing automation, AI, dashboards, or other operational technologies.
Experience working with healthcare billing, revenue cycle, credentialing, or insurance-based operations.
Experience leading organizations through significant growth or operational transformation.
