Our client is the management services organization supporting Manhattan Mental Health Counseling (MMHC), a fully online psychotherapy practice serving clients across New York State.
MMHC supports a growing network of 100+ clinicians and is building the operational infrastructure needed to scale its team and services while maintaining a high level of support, responsiveness, and operational quality.
Overview
We are looking for a People Operations & Clinician Support Coordinator to provide reliable, hands-on support across employee administration, clinician support, and recruiting coordination.
The primary focus of this role is People Operations and employee administration, including leave, PTO, benefits, payroll support, HRIS records, onboarding, offboarding, and employee lifecycle processes. The second priority is coordinating requests and operational needs from clinician contractors, while recruiting coordination will be a smaller part of the role.
This is a hands-on execution role for someone highly organized, detail-oriented, and comfortable owning requests through resolution. You’ll need strong judgment to understand what you can handle independently, what requires additional research, and what needs to be escalated.
Responsibilities:
People Operations & Employee Administration
Serve as a first point of contact for employees regarding PTO, leave, benefits, payroll-related questions, and other People Operations matters.
Coordinate leave processes from intake through documented closure, keeping track of deadlines, documentation, communication, and required follow-ups.
Support benefits and payroll administration, investigate discrepancies by gathering the necessary information, and coordinate resolution with the appropriate stakeholders.
Maintain accurate HRIS and employee records, including onboarding, offboarding, status changes, documentation, and employee lifecycle updates.
Coordinate onboarding and offboarding activities and ensure all required steps and handoffs are completed.
Maintain visibility into open requests, deadlines, and pending items to ensure nothing falls through the cracks.
Clinician Support
Serve as a coordination point for clinician contractors regarding onboarding, status changes, system access, and operational questions.
Log, categorize, route, and track clinician requests, keeping ownership, status, next steps, and aging visible.
Follow up with the appropriate teams until requests are confirmed as resolved.
Escalate urgent, sensitive, or high-risk matters promptly to the appropriate owner.
Identify recurring questions or operational issues and surface them to the Senior Director, Clinician Operations.
Recruiting Coordination
Coordinate recruiting processes for assigned roles, including interview scheduling, candidate communication, feedback collection, and offer documentation.
Maintain accurate and up-to-date recruiting records and pipeline status.
Support the transition from accepted offer to onboarding.
Proactively flag delays, missing feedback, or candidate-related risks.
Process & Documentation
Maintain accurate documentation, trackers, templates, checklists, and case records.
Identify recurring administrative issues and help improve workflows, documentation, or tracking systems.
Ensure open requests and dependencies remain visible and are followed through to completion.
Use technology and approved automation tools responsibly to improve efficiency while maintaining confidentiality.
Requirements
2+ years of experience in People Operations, HR Administration, HR Coordination, or a similar role.
Hands-on experience with leave administration and at least one of the following: benefits, payroll support, HRIS, or employee lifecycle administration.
Strong case ownership and follow-through, with experience managing employee requests from intake through resolution.
Highly organized and detail-oriented, with strong judgment, communication, and problem-solving skills.
High level of discretion and accuracy when handling confidential employee information.
Comfortable learning new HR, recruiting, and workflow systems.
Advanced English, written and spoken.
Experience in healthcare, behavioral health, or another regulated environment.
Experience supporting clinicians or contractors.
Recruiting coordination experience.
Experience working with remote/distributed teams.

Monday to Friday from 9 am to 5 pm EST
