Our client is a family-owned group of businesses operating across manufactured housing, hospitality, and retail. Their main business, a manufactured home company, has been operating for approximately 30 years and is preparing to open a second location. They also operate a hotel with a bar and restaurant and are renovating and preparing to reopen a Western wear shop.
They are looking for a full-time Executive Assistant with an operations focus to support the owner across multiple businesses and help bring structure, organization, and follow-through to a fast-moving environment.
The Executive Assistant will work closely with the owner to manage day-to-day priorities, organize information, coordinate projects, and ensure important tasks and follow-ups are completed. This role requires someone proactive and self-sufficient who can take scattered information and turn it into organized systems, clear next steps, and completed work.
• Manage and triage the owner’s inbox, identifying important items, action items, and follow-ups
• Manage the owner’s calendar and coordinate meetings and scheduling
• Maintain a master task and to-do list, tracking priorities and deadlines
• Track “waiting on” items and follow up to ensure tasks and projects continue moving forward
• Organize and maintain Google Drive and shared business information
• Capture and organize information from emails, voice notes, messages, and ongoing projects
• Conduct research and gather information to support business decisions and projects
• Draft correspondence, documents, and other business communications
• Support CRM processes and help sales team members with CRM-related tasks
• Create and maintain PDFs, templates, and other materials using CRM data and functionality
• Identify opportunities to improve internal processes, systems, and workflows
• Coordinate projects, action items, and follow-ups across multiple businesses
• Support administrative and financial processes as needed, including opportunities to streamline hotel financial operations
• Create flyers, presentations, and other business materials as needed
• Take ownership of delegated tasks from start to finish, ensuring work is completed accurately and on time
• Proactively identify additional ways to support the owner and improve business operations
• Highly organized with strong attention to detail and follow-through
• Proactive, ambitious, and comfortable taking ownership of responsibilities
• Strong judgment and the ability to determine priorities independently
• Self-sufficient and able to work effectively without constant direction
• Strong written and verbal communication skills
• Comfortable managing multiple priorities and switching between tasks as needed
• Tech-savvy and able to learn new software and systems quickly

• Strong Google Workspace skills, particularly Google Drive, Gmail, Calendar, and Google Sheets
• Comfortable communicating directly and professionally with the owner and other team members
• Flexible, adaptable, and focused on completing work rather than simply tracking hours
• Able to support multiple businesses, projects, and priorities simultaneously
• Previous experience as an Executive Assistant, Administrative Assistant, or Operations Assistant
• Experience supporting a founder, CEO, business owner, or executive
• Experience working with CRM platforms and business management systems
• Experience with process improvement and operational systems
• Experience supporting financial or administrative processes
• Experience creating business documents, flyers, PDFs, presentations, or similar materials
• Experience coordinating multiple projects, departments, or business functions
• Familiarity with productivity and AI tools such as ClickUp, Notion, ChatGPT, Claude, or similar platforms
• Experience working in a family-owned, entrepreneurial, or fast-growing business environment
• $2,000–$2,500 USD per month, depending on experience
