About the Role
We’re looking for a highly organized Production Coordinator to keep high-volume product work moving forward. You’ll coordinate projects, vendors, licensors, and internal stakeholders while improving visibility into timelines, risks, and delays. This is a coordination role, not a design role. The systems are in place — we need someone reliable and organized to run them well.
This role is ideal for someone proactive, positive, and comfortable managing many moving pieces. You should be able to troubleshoot issues quickly, follow up persistently, and help teams stay accountable when priorities shift.
You Will
Project Management & Tracking
Keep the design team's Asana board up to date, tracking timelines, milestones, deliverables, and project status while proactively following up with the team, identifying schedule risks, and helping keep projects on track.
Manage the licensor submission calendar and approval tracking for licensed collections including Sanrio/Hello Kitty & Friends, Peanuts, and Care Bears, making sure the right files are submitted on time and statuses are communicated to the team.
Create agendas for weekly team check-ins, keep meeting notes, and flag anything at risk of falling behind.
Suggest improvements to existing workflows as you spot them, with the Creative Director making final calls on changes.
Coordination
Serve as the design team’s point of contact with overseas factories, tracking RFQs, relaying specs, following up on timelines, and making sure production files are delivered on time. Note: pricing negotiation is handled by the Creative Director and operations team.
Work with the operations team to stay aligned on product lifecycle timing and communicate any impacts to the design schedule.
Represent the design team in cross-functional meetings with Sales, Operations, and Marketing, taking notes and reporting back to the team.
Track product samples, coordinate reviews, consolidate feedback, and communicate approvals back to factories.
Design Team Support & Running Changes
Manage the intake of product review notes and quality control feedback on a weekly cadence.
Coordinate running changes across design, production, and factories to ensure updates are implemented accurately on re-orders.
Help to maintain file organization in SharePoint and keep design-related Slack channels running smoothly.
About You
You’re organized, consistent, and good at keeping a lot of details in order without losing track of any of them. You follow up without being asked twice. You communicate clearly and proactively, especially when something is at risk of slipping. And when you walk into a little chaos (which, fair warning, you will), you don’t panic. You just start making a list.

Requirements
Must-haves
2+ years of experience in project coordination, production coordination, or a similar operations role, ideally at a product company.
Hands-on experience with Asana or a comparable project management tool.
Strong written English communication skills
Comfortable in Excel or Google Sheets for tracking and organizing information.
Exceptional attention to detail as this role works with production files, submissions, and specs.
Dependable, responsive, able to juggle multiple projects and adapt quickly as priorities shift.
Core working hours 11am – 4pm EST with remaining work scheduled flexibly.
Nice to haves
Experience with physical product manufacturing, including working with overseas factories, product development, sourcing/pricing and managing sampling processes.
Familiarity with licensed product workflows or brand approval processes.
Experience supporting a creative team.
Comfortable in Slack and SharePoint.

Compensation & Benefits
Compensation: $2,000 to $2,600 USD/month.
10 days of PTO per year.
7 sick days per year.
Local mandatory holidays observed; double day rate if requested to work on a local holiday.
