Our client is an Australian restaurant company with a growing presence in the United States. The company currently operates multiple restaurant locations across New York and Texas, with additional locations opening soon.
Overview
We are looking for a hands-on, highly organized Facilities Coordinator who can independently manage the full lifecycle of repair and maintenance (R&M) requests across multiple restaurant locations.
This is not a purely administrative or coordination role. The ideal candidate will have enough technical and/or project management knowledge to understand maintenance issues, question vendor recommendations, evaluate quotes, negotiate pricing, and make sure repairs are completed properly and efficiently.
The role will initially support approximately four restaurant locations, with the company expecting to grow to six locations by the end of the year.
Responsibilities:
Manage the full lifecycle of restaurant repair and maintenance requests, from initial issue through completion and payment.
Communicate directly with restaurant managers to understand and troubleshoot maintenance issues before engaging vendors.
Coordinate and manage vendors, including scheduling, quotes, scope of work, and completion.
Review vendor recommendations and quotes, ask informed questions, and identify when additional bids or alternative solutions are needed.
Negotiate vendor pricing and ensure the company receives good value for repairs and services.
Source and onboard new vendors when an appropriate provider is not already available.
Maintain accurate and up-to-date records of all maintenance tickets and ensure every open ticket has daily progress or a clear status update.
Prioritize urgent repairs and ensure emergency issues are addressed within the expected timeframe.
Coordinate communication between restaurant teams and vendors to minimize operational disruption.
Verify that completed work meets expectations before approving vendor payment.
Support special projects, such as restaurant upgrades, equipment changes, furniture purchases, and new installations.
When applicable, contribute to project design and help manage projects from concept through completion.
Requirements
2+ years of experience in facilities, construction, project management, or a similar field.
Restaurant/hospitality experience is a strong plus.
Experience managing vendors, quotes, repairs, and maintenance projects.
Strong ability to assess repair needs, question vendor recommendations, and negotiate pricing.
Highly organized, proactive, and detail-oriented, with strong ownership and autonomy.
Comfortable sourcing and managing new vendors.
SketchUp and/or Adobe Creative Suite experience is a plus.
Nice to have
Restaurant or hospitality industry experience.
Experience with SketchUp.
Experience with Adobe Creative Suite.
Architectural design or drafting experience.
Experience managing special projects, renovations, or restaurant upgrades.
Schedule
Monday–Friday, starting between 7:00–8:00 AM CST. Flexible schedule with some availability to respond to urgent issues outside regular working hours when needed.
