Our client is a growing U.S.-based property management company with a residential portfolio across multiple markets. Their team is focused on improving property operations, tenant experience, and the systems needed to support continued growth.
About the Role
We are looking for a Property Management Operations Coordinator to serve as the operational backbone of a growing property portfolio. This role is approximately 60% property operations and 40% tenant-facing customer service. You will manage lease administration, new property onboarding, rent comp analysis, vacancy and utility audits, vendor invoice review, operational reporting, tenant communications, and maintenance workflows.
This is not a passive administrative, ticket-only, or leasing agent role. You will need to take ownership of tasks from intake through resolution, manage multiple priorities independently, and communicate proactively when an issue needs escalation. The right person will keep systems accurate, close the loop consistently, and help leadership identify operational gaps before they become larger problems.
You will work in a highly structured, process-driven environment. Core activities are managed through documented workflows with clear cadences, due dates, and standards of completion. Success in this role requires keeping priorities and task trackers current, communicating blockers early, and following through consistently on commitments.
Key Responsibilities
- Manage lease administration workflows, including applications, tenant screening, renewals, move-ins, move-outs, lease documentation, and tenant record maintenance.
- Coordinate new property onboarding, including unit setup, tenant data migration, lease file organization, vendor setup, utility transfers, and property-level checklists.
- Conduct monthly rent comparable analyses using market listing platforms and flag properties with rents materially above or below market.
- Audit vacant-unit utility accounts, track vacancy duration and turn timelines, and flag gaps in service or units exceeding targets.
- Review vendor invoices against approved scopes, identify cost anomalies, and track recurring property-level expenses.
- Generate weekly operational reports covering open work orders, maintenance backlogs, vacancy trends, tenant service metrics, and recurring operational issues.
- Serve as a primary point of contact for tenant inquiries through phone, email, and property management software.
- Manage maintenance requests end-to-end, including intake, triage, work order creation, vendor or caretaker dispatch, follow-up, documentation, and closure.
- Coordinate daily and weekly tasks with on-site caretakers and external vendors, tracking responsiveness, quality, and completion.
- Document and improve operational SOPs, communication workflows, reporting processes, and automation opportunities.
- Participate in recurring accountability and operations meetings, providing clear updates on priorities, open items, risks, and completed work.
- Maintain ownership of a structured task list, ensuring recurring responsibilities and follow-ups are completed on time and properly documented.
Must-Have Requirements
- 2+ years of experience in property management operations, real estate administration, or a comparable operations role.
- Hands-on experience managing the tenant lifecycle, including applications, screening, lease administration, renewals, move-ins, and move-outs.
- Experience coordinating maintenance workflows from request intake through vendor dispatch, follow-up, and resolution.
- Experience using property management software such as AppFolio, Yardi, Buildium, or Rent Manager.
- Advanced written and spoken English, including confidence handling tenant-facing phone calls, emails, and difficult conversations.
- Strong organization, documentation habits, and the ability to manage multiple properties and competing priorities independently.
Nice-to-Have Requirements
- Direct AppFolio experience across tenant communications, work orders, leasing, reporting, and the tenant portal.
- Experience working with U.S. residential property management companies and familiarity with U.S. lease and tenant workflows.
- Experience onboarding new properties into a property management platform or conducting rent comparable analyses.
- Experience building or improving SOPs, operational reporting, workflows, or process documentation.
- Spanish fluency and experience using AI or automation tools to improve communications, reporting, or work order management.
Benefits & Work Setup
- Compensation USD depending on seniority and experience.
- Full-time, 100% remote contractor role.
- Schedule: Monday through Friday, 9:00 AM-6:00 PM U.S. Central Time.
- 10 paid days of PTO per year, plus U.S. holidays.
