About Our Client
Our client is a growing mortgage lending operation based in Plano, Texas, led by a high-producing Loan Officer. As the business grows, they are looking for a highly organized and technology-savvy Virtual Assistant professional to take ownership of the systems, databases, workflows, and marketing support that keep the business running efficiently.
About the Role
We are looking for a Virtual Assistant professional to support the Loan Officer and Loan Assistant by managing CRM systems, marketing automation, databases, workflows, reporting, and basic marketing content.
The primary focus of this role is systems and process management. The ideal candidate is highly organized, detail-oriented, comfortable with technology, and able to learn new platforms quickly and independently.
The client is currently transitioning to a new CRM, making this an opportunity for the VA to help with the initial setup, database cleanup, workflow implementation, and ongoing system management.
This is a back-end operations role. The VA will not communicate directly with borrowers or clients.
Responsibilities
- Manage and maintain the company's CRM, including contact records, lead routing, campaign assignments, and workflow updates
- Support the transition to and implementation of a new CRM system
- Keep databases clean, accurate, and up to date, including deduplication and missing information
- Ensure new leads are properly tagged, assigned, and added to the appropriate workflows
- Build, update, and monitor email and SMS marketing sequences as directed
- Monitor campaign performance, delivery, bounce rates, and other key metrics and flag issues proactively
- Manage and maintain the Homebot subscriber database and ensure contacts are added and updated on time
- Coordinate data enrichment and database workflows using tools such as Clay, Apollo, or similar platforms
- Maintain referral partner and agent databases and keep relationship information organized
- Track referrals and maintain accurate referral reporting
- Prepare weekly and monthly reports on campaigns, lead sources, databases, and other relevant metrics
- Create basic marketing materials such as flyers, one-pagers, social media content, and presentation materials using Canva or similar tools
- Maintain a social media content calendar and prepare content for the Loan Officer's approval
- Support post-closing workflows, including Homebot enrollment, CRM campaigns, and scheduled follow-ups
- Coordinate with the Loan Assistant to ensure system updates and workflow information are accurate and completed on time
- Identify gaps, inconsistencies, or issues in processes and proactively flag them to the Loan Officer
- Support additional team members with similar workflows and processes as needed
What We're Looking For
- Hands-on experience with a CRM platform, such as MLOFLO, HubSpot, Salesforce, Follow Up Boss, or similar
- Strong understanding of CRM management, databases, workflows, and marketing automation
- Experience managing email and/or SMS campaigns and sequences
- Strong data management skills, including importing, exporting, cleaning, and deduplicating contact records
- Highly organized and detail-oriented, with strong follow-through
- Comfortable learning and implementing new technology and systems independently
- Strong written and spoken English communication skills
- Able to work independently without constant step-by-step supervision
- Basic graphic design skills using Canva, Adobe Express, or similar tools
- Proactive and comfortable identifying what needs to be done rather than waiting for instructions
- Previous experience in mortgage, real estate, financial services, or a similar industry is a plus
- Experience with Homebot, Clay, Apollo, or similar tools is a plus
- Familiarity with AI video or marketing tools is a plus

- Compensation: $1,800–$2,000 USD per month, depending on experience
- Fully remote, full-time opportunity

- Schedule: Flexible, with availability aligned with US Central Time business hours when needed for collaboration
- Flexibility to adjust working hours when appropriate, as long as the full 40-hour workweek is maintained
