Our client the residential living brand of Merkeley Ventures, a U.S.-based real estate investment company. Stadium District Flats owns and self-manages a growing portfolio of 75+ residential units and active development projects, using a fully remote "Flex Property Management" model instead of a traditional patchwork of local property managers.
Overview
We're looking for a technically-minded Property Repairs, Rental Turns & Renovations Coordinator to manage day-to-day maintenance, unit turnovers, and support on renovation projects for a growing residential portfolio.
This is a hands-on, ownership-driven role rather than a dispatch or ticket-routing position: when an issue comes in, you diagnose it, decide which vendor to send, source and order the parts directly (Amazon, Home Depot, etc.), and see it through to resolution — rather than routing everything to a general contractor. Strong critical thinking matters more here than a specific credential, which is why we prioritize candidates with a STEM, technical, or facilities background over a general property management or administrative profile.
Responsibilities
- Manage the rental turn process during tenant transitions: schedule vendors, ensure checklist adherence, order supplies, and process invoices.
- Conduct pre- and post-occupancy unit inspections and document conditions accurately.
- Triage and resolve maintenance tickets — diagnosing the issue, assigning the right vendor, and following through to completion.
- Supervise contractors and vendors to ensure timely, quality completion of repairs and general upkeep.
- Support renovation projects: assist with budgets, contractor coordination, and timelines.
- Conduct remote oversight of city and housing authority inspections.
- Implement a quarterly preventive maintenance program.
- Screen, interview, and onboard new vendors; review and coordinate vendor invoices and payments.
- Maintain detailed maintenance, inspection, and vendor communication records in the maintenance CRM.
- Participate in a rotating on-call schedule for weekend and after-hours emergency response.
Requirements
- 5+ years of hands-on experience in property maintenance, facilities management, or construction/renovation coordination, with a focus on repairs and rental turns.
- A STEM, technical, engineering, or facilities-management background is strongly preferred — this role requires independent critical thinking, not just task routing.
- Hands-on experience owning maintenance or facilities issues directly (diagnosing, sourcing parts/vendors, and closing the loop) rather than only assigning tickets to a general contractor.
- Experience managing properties or facilities remotely — comfortable working from cameras, smart locks, and photos/video instead of walking the site in person.
- Experience supporting U.S.-based or other international operations is required;
- General comfort working in a CRM or ticketing system (no specific platform experience required).
- Strong written and verbal English.
- Comfortable receiving direct, specific feedback and adjusting quickly — our client leads with a direct management style.
- Availability to participate in rotating weekend and on-call overnight coverage.
- This role requires the use of Hubstaff or equivalent time-tracking software during working hours for activity monitoring and productivity tracking.
