About the Role
As a Business Systems & AI Automation Engineer, you will own and improve the systems that support the company’s day-to-day operations. This role combines hands-on technical support with systems improvement: you will manage core platforms, troubleshoot issues for a fully remote team, build automations and AI-powered solutions, and identify opportunities to make processes more efficient and scalable.
You will work closely with leadership and cross-functional teams including Operations, Customer Support, Inventory, and Account Management to understand business needs, translate challenges into technical solutions, and independently drive projects from idea to implementation. The role requires availability during EST business hours to provide live support to the team, while also offering significant autonomy to build, experiment, and improve systems.
Responsibilities
- Own and continuously improve the company’s core business systems, including HubSpot, Google Workspace, RingCentral, and other internal platforms.
- Build, optimize, and troubleshoot HubSpot workflows, automations, integrations, and CRM processes.
- Identify operational inefficiencies and proactively design solutions using automation, AI tools, integrations, and improved workflows.
- Build internal tools, dashboards, reports, and lightweight solutions that reduce manual work and improve visibility across teams.
- Evaluate and implement AI-powered solutions, workflows, agents, and emerging technologies that improve business operations.
- Manage integrations between systems, including APIs, webhooks, data synchronization, reconciliation, and deduplication.
- Provide day-to-day technical support during EST business hours, troubleshooting software access, integrations, email configuration, system issues, and other technical problems affecting the remote team.
- Manage user provisioning and deprovisioning, permissions, access levels, email routing, and offboarding across internal systems.
- Troubleshoot complex technical issues, investigate root causes, implement solutions, and validate that fixes are working properly before closing them out.
- Manage the website backend, including content updates and simple configuration tasks.
- Monitor basic website uptime and performance and escalate technical issues when needed.
- Act as a liaison with the company’s external development partners, communicating requirements, escalating bugs, and following up on fixes and enhancements.
- Create and maintain documentation, SOPs, and quick-reference guides for systems and recurring technical issues.
- Partner with leadership and internal teams to understand business needs and independently recommend improvements.
Requirements
Must Have
- 5+ years of experience in business systems, automation, technical operations, software engineering, or related technical roles.
- Strong hands-on experience building and optimizing HubSpot workflows, automations, integrations, and CRM architecture.
- Strong hands-on experience with Google Workspace Admin, including email configuration, permissions, security, and user management.
- Experience with RingCentral or similar VoIP platforms, such as Aircall or CloudTalk.
- Experience building solutions beyond standard administration, including integrations, dashboards, reporting, APIs, webhooks, scripts, or internal tools.
- Strong experience with automation platforms such as Zapier, Make, n8n, or similar tools.
- Hands-on experience using AI tools such as Claude, Claude Code, ChatGPT, Codex, AI agents, or similar technologies to build solutions and improve workflows.
- Experience troubleshooting complex technical issues and identifying root causes, not just applying quick fixes.
- Ability to identify opportunities, take ownership, and drive projects independently without requiring step-by-step direction.
- Experience working independently in startup, small-company, or fast-paced environments.
- Advanced business English, both written and spoken.
- Availability to provide live technical support during EST business hours.
