About the Role:
We’re looking for a Director of Agency Operations who can strengthen and scale internal agency operations. You’ll own and optimize operational systems, improve visibility into team capacity and utilization, and help leadership make smarter business decisions based on agency performance data. This role will collaborate closely with the founders and cross-functional teams across account management, design, development, writing/editing, and paid media. This role requires someone who is proactive, curious, highly collaborative, and comfortable taking initiative in a growing business.
You Will:
- Own and optimize the agency’s project management systems and internal operational workflows
- Lead the implementation of time tracking, resource utilization, and capacity planning processes
- Analyze profitability by client and service line to surface insights for leadership
- Research, evaluate, and help implement new tools to improve operational visibility and decision-making
- Become the internal go-to person for agency operations systems and process improvements
- Audit current operational processes and identify low-hanging opportunities for optimization
- Partner with leadership to better understand pricing, service delivery, and team bandwidth
- Support strategic hiring planning by identifying when additional team capacity is needed
About You:
Your Background:
- 3+ years of operations experience within a marketing agency
- Strong experience with project management, internal workflows, and process optimization
- Experience with time tracking, team capacity planning, and resource utilization
- Ability to assess operational data and translate it into practical business insights
- Familiarity with project management platforms such as ClickUp or similar tools
- Excellent communication skills and fluent English in a distributed, English-speaking environment
- Collaborative and effective working across different functions and personality types
- Proactive, curious, and comfortable identifying opportunities without waiting for direction
Nice to Have:
- Experience in a small-to-midsized agency environment
- Experience implementing workflow automation or new internal systems
- Exposure to hiring planning, onboarding workflows, or operational support functions like HR/recruiting or finance
- Experience helping agency leadership evaluate pricing, margins, or service delivery efficiency
