About Our Client
Our client is a small Private Family Office supporting the Principal across his personal, family, household, travel, and business-related operations.
The Family Office currently has two Executive Assistants and is expanding the team to provide broader coverage and support as the Principal's responsibilities and needs continue to grow.
This is not a traditional corporate Executive Assistant role. It is executive-level support applied to the Principal's full life operations, including personal, family, household, travel, scheduling, vendors, payments, relocation, properties, taxes, medical needs, and other matters that affect his ability to operate effectively.
About the Role
We are looking for a Full-Time Executive Assistant to join the Family Office and work closely with the existing Executive Assistant team.
The ideal candidate is a strong operator who is highly organized, resourceful, proactive, and comfortable handling a wide variety of personal, household, family, and business-related responsibilities.
This role requires excellent judgment, strong communication skills, discretion, low ego, and a genuine service orientation. The successful candidate will be comfortable taking ownership of tasks, finding efficient solutions, using available resources, and following things through until they are fully resolved.
The role will be aligned with either EST or CET, with the CET position specifically intended to provide coverage during the Principal's earlier hours and extend the team's overall support window.
Responsibilities
- Manage a wide variety of personal, household, family, and executive-level tasks for the Principal
- Coordinate private travel, including working with brokers, negotiating options, booking flights, and managing transportation and other travel arrangements
- Coordinate household needs such as repairs, maintenance, pet care, and appointments
- Manage purchases, packages, deliveries, tracking, returns, and refunds
- Schedule personal activities such as padel, gym-related appointments, and other commitments
- Coordinate medical-related needs, including finding doctors, dentists, treatments, and other healthcare services
- Support relocation and immigration-related matters, including visas and coordinating with lawyers or agencies
- Assist with property-related matters and taxes across different countries
- Support family-related logistics, including childcare, nannies, and other needs as the family grows
- Research options, identify resources, negotiate when appropriate, and move tasks forward with minimal supervision
- Communicate and coordinate closely with the existing Family Office team
- Document work, share context, and ensure tasks and follow-ups do not fall through the cracks
- Adapt communication and working style to the Principal's preferences and needs
What We're Looking For
- 5+ years of professional experience in a high-responsibility role such as operations, project management, startups, client service, concierge-style support, legal/admin support, finance support, agency operations, or event coordination
- At least 1 year of experience as an Executive Assistant, Personal Assistant, Founder Assistant, Family Office Assistant, or similar support role
- Strong ownership and growth mindset
- Low ego and strong service orientation
- Excellent organization and follow-through
- Strong judgment, resourcefulness, and common sense
- Ability to receive and apply direct feedback
- Strong discretion and confidentiality when handling personal, financial, family, and business information
- Comfortable using technology and learning new tools and systems
- Proactive approach to finding efficient, practical solutions rather than waiting for instructions
