About the role
We are seeking a highly organized, proactive, and detail-oriented Sales Assistant to provide direct support to our Director of New Business Development. This role is ideal for a professional who thrives in a fast-paced environment, excels at managing priorities, and enjoys being a trusted partner in helping drive business growth.
Key Responsibilities
Handle confidential information with professionalism and discretion.
Screen and prioritize emails, phone calls, and correspondence.
Assist in tracking project timelines, follow-ups, and key business development initiatives.
Track in detail pending orders and communications, ensuring all orders stay on track.
Create, edit, and format professional documents, spreadsheets, and reports.
Conduct research and compile information for business opportunities and special projects.
Organize and maintain customer and prospect databases, digital filing systems and records.
Enter new sales orders and purchase orders quickly, accurately, and efficiently as assigned.
Coordinate meetings with customers, suppliers, and strategic partners as directed. Arrange domestic and international travel itineraries, accommodations, and logistics.
Support trade show planning, scheduling, and follow-up activities.
Skills
Bachelor's Degree highly preferred.
Minimum 3 years of administrative as a sales assistant/ customer support/ sales development representative.
Advanced proficiency in Microsoft Office Suite, particularly:
Microsoft Outlook
Microsoft Excel
Microsoft Word
Excellent written and verbal communication skills in English.
Strong organizational and time-management abilities with the ability to prioritize multiple tasks and meet deadlines.
High level of professionalism, discretion, and confidentiality.
Self-starter with strong problem-solving skills and attention to detail.
Strong interpersonal skills and a customer-service mindset.
Highly dependable and trustworthy. Ability to anticipate needs before they arise.
Comfortable working independently with minimal supervision. Has a positive attitude and willingness to take ownership of responsibilities.
Experience in any of the following areas is highly desirable:
International trade, import/export operations, or global logistics.
Ocean freight, shipping documentation, customs, or supply chain coordination.
Has worked at companies handling bulk food ingredients and agricultural commodities
Previous experience supporting a senior executive, business owner, sales executive, or director-level leader.
CRM & ERP software experience.
Event, trade show, or customer meeting coordination.
Compensation: $1,800 - $3,300 monthly
Schedule: Monday to Friday, 8:30am - 5:00pm EST
