Our client is a growing U.S.-based property management company with a multi-state residential portfolio. They are building a stronger finance function and need an experienced accounting professional who can bring structure, accuracy, and sound accounting judgment to a fast-moving environment.
About the Role
We are looking for a hands-on Accounting Manager / Controller to serve as the right hand to the CFO. You will own core day-to-day accounting operations across multiple entities and properties, including AP/AR, reconciliations, general ledger maintenance, financial reporting, month-end close, and balance sheet analysis. You will also help build the processes, controls, and documentation needed to scale the finance function.
This is not a virtual assistant, data-entry, or entry-level bookkeeping role. You must arrive with strong accounting fundamentals and be able to explain how transactions affect the balance sheet and P&L. You should be comfortable working with both accrual and cash basis accounting, making informed decisions independently, and building SOPs where they do not yet exist. This role can grow into a full Controller position as the company expands.
You will work in a highly structured, process-driven environment. Core activities are managed through documented workflows with clear cadences, due dates, and standards of completion. Success in this role requires keeping priorities and task trackers current, communicating blockers early, and following through consistently on commitments.
Key Responsibilities
- Manage accounts payable and receivable workflows, including vendor onboarding, invoice coding, payment application, and ledger discrepancy resolution.
- Oversee weekly bank reconciliations across property operating and trust accounts, plus bank and credit card reconciliations for corporate entities.
- Maintain accurate general ledgers, including accruals, prepaid expenses, journal entries, intercompany balances, loan schedules, and capital expenditures.
- Review and analyze balance sheets, investigate anomalies, clear stale items, and ensure asset, liability, and equity accounts reflect economic reality.
- Ensure security deposit trust accounts are properly segregated, reconciled, and handled in line with applicable requirements.
- Prepare and review monthly property-level P&Ls, owner reports, portfolio summaries, and budget-versus-actual analyses.
- Support annual budgeting, capital expenditure tracking, tax preparation, 1099 processing, vendor compliance, and audit documentation.
- Build, document, implement, and improve accounting SOPs, process maps, templates, and controls.
- Identify opportunities to improve efficiency through automation, AI tools, and better financial workflows.
- Support QuickBooks Online administration for a secondary entity, including reconciliations, project coding, invoicing, and loan tracking.
- Manage accounting activities across a multi-entity real estate portfolio with a high volume of property and entity-level P&Ls.
Must-Have Requirements
- 3+ years of hands-on full-cycle accounting or bookkeeping experience, including journal entries, reconciliations, general ledger work, and month-end close.
- Strong understanding of accrual versus cash basis accounting, including how revenue, prepaid expenses, accrued liabilities, and deferred revenue flow through financial statements.
- Strong balance sheet fluency and the ability to correctly account for security deposits, loan balances, capital improvements, depreciation, prepaids, and accruals.
- Experience managing AP/AR, bank reconciliations, financial statements, and month-end close processes.
- Advanced Excel or Google Sheets skills, including pivot tables, lookups, financial data organization, and reporting.
- Advanced written and spoken English, strong attention to detail, professional judgment, and the ability to work independently with confidential financial information.
- Proven ability to manage structured, recurring accounting workflows across multiple priorities, maintain clear task tracking, and proactively flag risks or conflicting deadlines.
Nice-to-Have Requirements
- Experience using AppFolio for accounting, including GL coding, AP, bank reconciliations, or owner reporting.
- Experience with U.S. residential property management accounting, multi-entity accounting, or multi-property portfolios.
- Experience handling security deposit trust accounts, owner distributions, management fee calculations, or vendor compliance.
- Experience with QuickBooks Online, 1099 preparation, and tax or audit support.
- Experience creating accounting SOPs, improving workflows, or using automation and AI tools in finance operations.
Benefits & Work Setup
- Compensation in USD, depending on seniority and experience.
- Full-time, 100% remote contractor role.
- Schedule: Monday through Friday, aligned with U.S. Central Time business hours.
- 10 paid days of PTO per year, plus U.S. holidays.
