About the Role:
The Procurement Specialist / Assistant is responsible for reviewing customer assessments, property information, and job documentation to determine HVAC equipment and material requirements for upcoming installations. This position plays a critical role in ensuring the correct materials are ordered, estimates are accurately created, and installation teams have everything needed to complete jobs efficiently.
This role requires strong attention to detail, organization, and the ability to identify potential issues before they impact the installation process. The ideal candidate must be comfortable reviewing photos and documentation, managing multiple orders, and communicating effectively with internal teams while working in a remote environment.
Key Responsibilities:
Review property assessment information, job details, and submitted photos to determine HVAC system needs and installation requirements
Accurately identify required HVAC equipment, materials, and supplies based on job specifications
Utilize company ordering systems to correctly place equipment and material orders
Build accurate customer/job estimates using established pricing guides and company procedures
Submit estimates and order required equipment within designated timelines
Review documentation prior to installation to identify missing information, inconsistencies, or potential issues
Communicate concerns, discrepancies, or special requirements with the appropriate team members before installation
Coordinate with operations, warehouse teams, and field staff to ensure materials are available when needed
Assist with managing deliveries and tracking equipment shipments to multiple warehouse locations
Maintain accurate records of orders, estimates, materials, and job information
Follow company processes to ensure efficiency, accuracy, and successful completion of installations
What We’re Looking For:
Previous HVAC, procurement, purchasing, or administrative experience preferred
Ability to review photos, measurements, and job details to determine material needs
Strong attention to detail with a focus on accuracy and organization
Ability to manage multiple jobs, deadlines, and priorities simultaneously
Strong computer skills with the ability to navigate ordering platforms and internal systems
Excellent English written and verbal communication skills
Ability to problem-solve and identify issues before they affect operations
Self-motivated and capable of working independently in a remote environment
Willingness to learn HVAC equipment, materials, and installation requirements
