About Our Client
Our client is a growing real estate and property management group based in the Seattle area. The company manages residential properties, homeowners associations (HOAs), condominium associations, and an affiliated maintenance and construction business. Following a period of rapid growth through acquisition, they are looking for a highly organized and proactive professional to become a trusted right-hand partner to the owner and help bring structure, accountability, and operational excellence across multiple business entities.
About the Role
We are seeking an Executive Assistant & Operations Coordinator to support the owner of a multi-entity real estate and property management business.
This is a unique hybrid role that will initially focus heavily on operational oversight, bookkeeping coordination, accounts payable workflows, and process management. During the first few months, the successful candidate will help stabilize and organize existing financial and operational processes while ensuring accountability across multiple teams and vendors. Over time, the role will evolve into a higher-level Executive Assistant position focused on strategic support, project coordination, meeting preparation, process improvement, and helping the owner scale the business.

Responsibilities
- Take ownership of operational and bookkeeping-related workflows during the onboarding period
- Oversee accounts payable processes and ensure tasks are completed accurately and on time
- Coordinate with bookkeepers, vendors, and internal team members to ensure accountability and follow-through
- Monitor operational workflows across multiple business entities
- Assist with documenting, refining, and improving business processes
- Track priorities, deadlines, projects, and action items for the owner
- Prepare materials and coordinate logistics for meetings, including board meetings and company initiatives
- Support strategic planning and operational decision-making
- Review reports, financial information, and business metrics with leadership
- Help identify operational bottlenecks and recommend process improvements
- Assist with hiring and coordinating specialized resources when needed
- Serve as a trusted right-hand partner to the owner across multiple areas of the business
What We're Looking For
- 4+ years of experience as an Executive Assistant, Operations Coordinator, Operations Manager, Project Coordinator, Business Operations Specialist, or similar role
- Experience in property management and/or real estate operations
- Experience working with QuickBooks
- Strong organizational and project management skills
- Ability to manage multiple priorities simultaneously
- Exceptional attention to detail and follow-through
- Strong sense of ownership and accountability
- Excellent written and verbal English communication skills
- Ability to work independently with minimal supervision
- Comfortable operating in a fast-paced, entrepreneurial environment
- Experience supporting founders, executives, or business owners directly
Nice to Have
- Experience with AppFolio
- Experience with trust accounting or property management accounting workflows
- Experience working with multi-entity businesses
- Experience reviewing financial reports, P&Ls, and operational metrics
- Experience working with U.S.-based companies
- Familiarity with LeadSimple, Tenant Turner, or similar property management platforms
- Experience in HOA, condominium association management, or construction-related businesses
Working Hours
- Full-time position
- Pacific Time (Seattle, WA)
- Core availability expected between 9:30 AM and 5:30 PM PT
- Flexibility to occasionally support priorities outside of core business hours when needed
Compensation & Benefits
- Compensation: $2,000 - $3,000 USD per month, depending on experience
- Fully remote position
