About the Role:
This position is responsible for data entry, reviewing closing packages, and closing transactions in a paperless environment using internal accounting to pay Sales Agents, Referrals and Cooperative Brokers. The Escrow Administrator is focused on ensuring accuracy, timely completion, and the highest level of customer service to our Sales Agents and offices.
Essential Job Functions and Responsibilities:
- Review transaction files and closing documentation to ensure accuracy, completeness, and compliance.
- Prepare and distribute Preliminary Commission Statements to agents, assistants, Transaction Coordinators, SkySlope, and other applicable parties.
- Prepare and send Commission Disbursement Authorizations (CDAs) to escrow/title companies, ensuring documentation is complete and all required parties are included.
- Coordinate with escrow, title companies, and internal departments to resolve
- discrepancies, obtain missing documentation, and facilitate timely closings.
- Apply commission adjustments and verify commission calculations to ensure accurate and timely payments.
- Provide exceptional customer service and support to agents, office leadership,
- Compliance, Accounting, and Agent Experience Managers regarding transaction and commission inquiries.
- Serve as the primary point of contact for day-to-day operational questions from the Transaction Specialist team, providing guidance and escalating complex issues to the Department Manager as needed.
- Monitor daily transaction workflow, lightly oversee Transaction Specialists, provide training as needed, and ensure internal transaction updates are completed on time.
- Oversee team coverage and assist with workload prioritization during Department Manager absences to ensure uninterrupted operations.
- Perform additional duties and participate in process improvements as needed to support departmental and business objectives.
Required Skills and Experience:
- Minimum of 3 years of residential real estate transaction coordination experience required.
- Strong knowledge of real estate contracts, escrow processes, commission structures, and transaction workflows.
- Excellent customer service, communication, and relationship-building skills in a fast-paced, customer-centric environment.
- Proven ability to prioritize multiple transactions while maintaining exceptional accuracy and attention to detail.
- Experience providing guidance, training, or mentoring team members preferred.
- Proficient in Microsoft Office (Outlook, Excel, Word) with the ability to quickly learn internal and third-party real estate applications.
