The company is focused on improving operational quality, tenant experience, customer service, and scalable internal processes as it continues to grow.
About the Role
We are looking for a strong Property Management Operations Coordinator to support day-to-day property operations across multiple properties. This is a hands-on role for someone who can manage tenant communication, maintenance coordination, recurring operational tasks, and follow-up with a high level of ownership.
This is not a traditional assistant or task-taker role. The right person will be expected to communicate clearly, stay on top of details, close out open items, and help keep operations moving without needing constant reminders. Over time, this person may take on broader ownership of the customer service function, so strong communication, attention to detail, and follow-through are key.
Responsibilities
- Serve as a key point of contact for tenant communication via phone, email, and property management systems.
- Manage and follow up on maintenance requests from intake through resolution.
- Coordinate with vendors, caretakers, tenants, and internal team members to ensure issues are resolved on time.
- Support lease administration, renewals, applications, tenant records, and related documentation.
- Track, update, and close out operational tasks with strong attention to detail.
- Maintain accurate records, notes, and status updates across internal systems.
- Support recurring property operations tasks, reports, and process follow-ups.
- Help identify gaps in communication, documentation, or workflows and suggest improvements.
- Use property management tools to manage daily activity and keep information organized.
- Contribute to a high-quality tenant and owner experience through timely, clear, and professional communication.
Requirements
Must-Haves
- 5+ years of relevant experience in property management operations, real estate operations, or similar operational roles.
- Advanced or fluent English, with confidence handling phone-based communication.
- Strong experience managing tenant communication by phone and email.
- Experience coordinating maintenance requests, vendors, work orders, or service follow-ups.
- Experience with lease administration, tenant records, renewals, applications, or related documentation.
- Strong communication skills, coachability, and proactive attitude.
Nice-to-Haves
- Experience with AppFolio, Buildium, Yardi, or other property management systems.
- Prior experience working with U.S.-based property management or real estate companies.
- Experience managing multiple properties, portfolios, or recurring operational workflows.
- Familiarity with AI tools, automation, or workflow optimization.
Benefits & Work Setup
- Compensation in USD depending on seniority and experience.
- Full-time, 100% remote contractor role.
- Schedule: Monday to Friday, 9:00 AM to 6:00 PM Central Time,
- 10 days of PTO.
- U.S. holidays/holiday policy to be confirmed with the client.
