About the Role
This Operations & Administrative Coordinator role combines office coordination, administrative support, customer communication, and operational problem-solving into one dynamic position.
Note: This is a remote contractor position.
Key Responsibilities
Answer inbound customer calls and qualify new leads using established processes.
Schedule estimate appointments and manage the company calendar using integrated scheduling tools.
Maintain accurate customer records and update information within the CRM.
Coordinate project-related administrative tasks.
Generate invoices, monitor project completion, and support billing workflows.
Navigate multiple software platforms to troubleshoot operational issues and maintain data accuracy.
Identify opportunities to improve administrative processes and operational efficiency.
Follow up with inbound leads submitted through the company's website and other marketing channels.
Perform general administrative duties including documentation, data entry, and record management.
What We're Looking For
4+ years of experience in Office Management, Office Coordination, Operations, Executive Assistant, or similar administrative leadership roles.
Experience supporting small businesses or home service companies is highly preferred (painting, construction, HVAC, plumbing, landscaping, roofing, restoration, etc.).
Strong operational mindset with excellent problem-solving and critical thinking skills.
Proven ability to work independently and take ownership of responsibilities.
Experience using CRM platforms.
Familiarity with project management tools such as Airtable or similar platforms.
Basic experience with QuickBooks or other invoicing/accounting software is a plus.
Strong organizational and time management skills with exceptional attention to detail.
Professional and friendly communication skills with experience handling inbound customer calls.
Advanced English proficiency.
Compensation and Benefits
Compensation range: $2,000–$3,000 USD per month.
Please note that the final salary offer may vary based on the candidate's seniority, specific skill set, and performance throughout the evaluation and interview process.
10 days of PTO + 6 paid U.S. holidays.
