Overview
We’re looking for an Operations Assistant to support the Client Success and Operations teams with a variety of administrative, technical, and process-driven tasks.
This role is ideal for someone who enjoys working with software platforms, learning new tools quickly, and keeping systems organized behind the scenes. You’ll be responsible for supporting client onboarding and setup processes, managing information across multiple systems, assisting with CRM-related tasks, evaluating AI-generated content, and helping ensure day-to-day operations run smoothly.
Unlike a traditional Executive Assistant role, this position is not focused on calendar management or direct client communication. Instead, it is centered around operational execution, systems management, and supporting the team through technology and process-driven work.
Responsibilities
Support internal operations and client onboarding processes.
Work within GoHighLevel, HubSpot, and other CRM or business platforms to manage and organize information.
Collect, organize, and input client data into company systems and workflows.
Assist with account setup and configuration across different platforms and software tools.
Support website, domain, and account-related administrative tasks.
Review and evaluate AI-generated outputs using established quality standards and guidelines.
Use AI tools such as Claude and ChatGPT to assist with operational workflows and administrative tasks.
Maintain accurate records, documentation, and process tracking.
Follow established SOPs while identifying opportunities for greater efficiency.
Learn and navigate custom internal software tools.
Troubleshoot basic platform and system issues and escalate when necessary.
Collaborate closely with internal team members to ensure tasks are completed accurately and on time.
Skills & Qualifications
2+ years of experience in Operations, Virtual Assistance, Administrative Support, Project Coordination, or similar roles.
Experience working with CRM platforms and business software tools.
Hands-on experience with GoHighLevel.
Strong organizational skills and exceptional attention to detail.
Comfortable learning and adapting to new software quickly.
Experience using Google Workspace and Slack.
Excellent written English communication skills.
Ability to manage multiple priorities and work independently in a remote environment.
Proactive mindset with strong problem-solving abilities.
Comfort using AI tools such as ChatGPT, Claude, or similar platforms to improve efficiency and complete daily tasks.
Experience with HubSpot, Salesforce, Pipedrive, or other CRM platforms.
Familiarity with website domains, DNS settings, website integrations, and account setup processes.
Experience working in startups, agencies, or fast-paced remote companies.
Experience creating or improving SOPs and operational processes.
Exposure to automation tools such as Zapier, Make, or similar platforms.
Experience supporting Client Success, Marketing Operations, or Revenue Operations teams.
Schedule
Full-time, Monday–Friday, strong overlap with PST.
