About the Role
You will join at a pivotal moment as the company scales its operations and strengthens its internal systems. The immediate challenge is to clear the existing backlog of tasks while building scalable automations, AI workflows, and optimized system processes. Once the systems are stabilized, you will maintain and continuously improve them, ensuring a smooth-running remote operation.
This role offers high autonomy, allowing you to identify bottlenecks, design solutions, and make key decisions that impact the efficiency of multiple teams, including Operations, Customer Support, Inventory, and Account Management.
You will be a builder and scaler: building new workflows and automations now, and optimizing ongoing processes for the future.
Responsibilities
- Take ownership of the company’s core systems (HubSpot, Google Workspace, RingCentral, website backend), identifying inefficiencies and designing strategic improvements.
- Proactively create and implement automations and AI solutions to streamline workflows and reduce manual effort.
- Serve as the go-to expert for system performance, user support, and process improvements, ensuring remote teams can work efficiently without friction.
- Collaborate with leadership to define priorities, recommend tools, and implement solutions that scale as the company grows.
- Manage vendor relationships and external development partners, owning communications, clarifications, and timely follow-ups.
- Continuously monitor systems, detect potential issues before they impact operations, and implement preventative solutions.
- Build and maintain clear documentation, SOPs, and guides that empower team members to leverage systems effectively.
- Drive initiatives with measurable outcomes, demonstrating the impact of optimizations on team productivity and operational efficiency.
Requirements
Must Have
- 5+ years of experience in IT administration, business systems management, or technical operations.
- Advanced business English, both written and spoken.
- Strong hands-on experience with HubSpot CRM (admin settings, workflows, troubleshooting) and Google Workspace Admin (email setup, permissions, security).
- Experience with RingCentral or similar VoIP systems.
- Proven ability to configure systems, workflows, automations, and user accounts.
- Solid troubleshooting skills with a proactive, preventative mindset.
- Experience supporting fully remote teams in fast-paced environments.
- Demonstrated curiosity and eagerness to learn in technical and strategic skills.
- Ability to take ownership and proactively identify opportunities for improvement.
Nice to Have
- Experience managing or coordinating website backend tasks (CMS familiarity).
- Comfortable liaising with external technical teams or vendors.
- Knowledge of automation and AI tools (e.g., Zapier, Make, UiPath, Power Automate, AI agents).
- Background in SaaS, travel, operations, or startup environments.
- Data visualization experience (Looker Studio, Power BI, Google Sheets).
Benefits & Work Modality
- Monthly salary range: USD 2,000 – 4,500, depending on seniority and experience.
