About Our Client
Our client is a company delivering transformative mental health care through cutting-edge, insurance-covered treatments like ketamine, TMS, Spravato®, and psychedelic therapy. They are expanding to new locations and looking for a Remote Clinic Operations Manager to support their growth.
About the Role
As a Remote Clinic Operations Manager, you will play a pivotal role in streamlining day-to-day clinic operations, managing workflows, and ensuring systems run smoothly across multiple sites. This role will support existing locations and help prepare for future clinic launches.
Key Responsibilities
- Manage and support intake coordinators and reception staff across multiple clinics.
- Monitor workflows (scheduling, follow-up, documentation) and flag any issues early.
- Keep SOPs, task guides, and onboarding materials current and actionable.
- Track operational metrics (response time, intake conversion, etc.) to drive accountability.
- Troubleshoot remote “air traffic” challenges that don't require in-person escalation.
- Collaborate with the Director of Clinic Operations to design scalable systems for new site launches.
Skills
- 2+ years of management experience leading a team, with 2+ years in a front-line support role (e.g., receptionist, intake coordinator, or admin assistant).
- Strong communication skills (written and spoken English) with a coaching-oriented and warm approach across asynchronous and live channels.
- Detail-oriented and highly organized, with the ability to coordinate across teams.
- Proficient with GSuite, spreadsheets, and light EHR/CRM tools.
- Calm, resourceful, and solutions-focused under pressure.
Desired Skills
- Familiarity with U.S. healthcare systems and remote-first operations.
- Previous experience in scalable operations for growing businesses.
