Overview
We are seeking a highly organized and detail-oriented Project Coordinator to support both the day-to-day operations of our office and the coordination of film/media projects. This role involves managing client relationships, streamlining internal workflows, and ensuring the smooth execution of production timelines.
Responsibilities:
Project Management & Client Relations
- Manage daily office operations: scheduling, correspondence, and maintaining organized records.
- Act as the first point of contact for clients, handling inquiries and building strong relationships.
- Prepare and present project estimates to clients.
- Manage invoicing, payment tracking, and client follow-ups.
- Answer phones and emails, maintaining professional communication with clients and vendors.
- Coordinate meetings, bookings, and production schedules.
- Keep project workflows organized to meet deadlines and client expectations.
- Document and track all client communications for proper follow-up.
- Manage office supply inventory and place orders when needed.
Project Coordination & Production Support
- Assist in the planning and execution of film projects from pre-production through post.
- Track project timelines, deliverables, and budgets.
- Coordinate with clients, crew, and vendors to support project goals.
- Support contract management, logistics, and permitting processes.
- Monitor budgets and suggest cost-effective solutions.
Requirements
- 3+ years of experience in project coordination, administrative support, or a similar role.
- Strong organizational skills and attention to detail.
- Proficient with project management tools (e.g., Monday.com) and basic accounting tools (e.g., QuickBooks).
- Excellent communication skills in English (written and verbal).
- Comfortable managing client interactions independently.
- Prior experience in media or entertainment is a plus, but not required.
- Must be available to work 9am–5pm PT with some flexibility.
