About the role
We’re looking for an experienced, detail-oriented Executive Assistant to support our VP of Operations. This role sits at the intersection of operations, people, and strategy. You’ll help drive internal organization, coordinate key projects, and provide light HR support — making sure our fast-moving team has the structure and resources to thrive.
You’ll be deeply involved in managing day-to-day operational and administrative responsibilities, while also acting as a trusted partner in people-related initiatives.
Key Responsibilities
Calendar & Scheduling Management: Coordinate meetings, internal check-ins, and ops syncs, ensuring the VP’s calendar reflects key priorities.
Internal Communication & Documentation: Assist with organizing, drafting, and distributing internal communications, updates, or HR-related memos.
People Ops Support: Assist in onboarding new hires, maintaining internal records, and helping ensure compliance with internal HR processes and documentation.
Project Coordination: Track key internal initiatives (like process improvements, audits, or hiring pipelines), follow up on deadlines, and help keep the team aligned.
Hiring Coordination: Support scheduling interviews, communicating with candidates, and helping manage the hiring funnel in collaboration with HR and leadership.
Tool & System Management: Maintain documentation in Notion, help keep project boards organized, and identify ways to improve workflows across tools like Google Workspace and Slack.
General Admin Support: Provide ongoing assistance with travel booking, ad-hoc research, meeting prep, or other administrative needs.
Desired Skills & Experience
Executive Support Experience: You’ve supported high-level leaders (ideally in operations or people-facing roles) and know how to anticipate needs and protect their time.
HR/People Ops Exposure: Some hands-on experience with HR admin tasks, onboarding, or internal team support is highly preferred.
Strong Communicator: Excellent written and verbal English; comfortable managing sensitive information and maintaining confidentiality.
Digitally Fluent: Familiar with Notion, Google Workspace, Slack, and other productivity platforms. Bonus if you’ve worked with tools like Gusto, Deel, or other HR systems.
Process-Driven: You’re organized, resourceful, and can bring order to chaos.
Proactive & Dependable: You’re the kind of person who spots problems before they happen — and solves them without needing to be asked.
Schedule: Flexible, but generally overlapping with PST where the CEO is based
