This is a fully remote role to work for our US-based clients, a fast-growing mental health company led by a visionary, fast-moving CEO. We are looking for a sharp, organized, and tech-savvy Executive Assistant who thrives on structure, loves problem-solving, and brings strong initiative to the table. This role is for someone who can take full ownership of supporting the CEO, manage day-to-day priorities with minimal direction, and bring calm to chaos in a high-growth environment.

Responsibilities
1. Calendar & Scheduling Management
- Manage and optimize the CEO’s calendar with precision—business meetings, personal appointments, internal check-ins, and last-minute changes
- Anticipate and resolve scheduling conflicts and ensure the CEO’s time is spent effectively
2. Inbox & Communication Management
- Triage, organize, and draft responses in the CEO’s inbox
- Ensure priority messages are addressed and deadlines are met
- Communicate on behalf of the CEO with internal team members, vendors, and external contacts
- Make professional phone calls on the CEO’s behalf as needed
3. Workflow & Task Prioritization
- Act as the CEO’s gatekeeper—keeping track of tasks, project timelines, and priorities
- Ensure high-priority items are completed, and the CEO is always prepared
- Help move key initiatives forward by flagging delays or roadblocks
4. Online Account & Document Management
- Manage logins, credentials, and online accounts used by the CEO and the business
- Maintain digital filing systems and organize access to key business documents and tools
5. Tech Tools & Systems Support
- Manage tools like Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, Zoom, Monday.com, Constant Contact
- Introduce new tools or automations to improve productivity and communication
- Troubleshoot minor tech issues or coordinate solutions when needed
6. Collaboration & Coordination
- Work closely with the Director of Operations and other department heads to ensure cross-functional alignment
- Provide light project coordination, reminders, and follow-ups on internal deliverables
- Assist with occasional graphic or document design using Canva or similar tools
7. Expense & Financial Tracking
- Track the CEO’s business expenses and manage receipts, reimbursements, and vendor payments
- Monitor and flag budget-related issues and support the finance team as needed
8. Travel & Logistics
- Book and manage domestic and international travel for the CEO
- Handle all related logistics including flights, accommodations, transportation, and itinerary coordination
- Adjust plans quickly and efficiently when changes arise
Requirements
- Proven experience supporting a high-level executive or founder
- Excellent written and verbal communication
- Strong command of G Suite, project management tools (e.g., Asana, Trello, Monday.com), Constant Contact, Zoom, Slack
- Experience managing multiple calendars, priorities, and internal coordination
- Type A, ultra-organized, and resourceful—you get things done
- Tech-savvy with a love for building structure and improving systems
- Confident communicator who can speak up, push back when needed, and protect the CEO’s priorities
- Discreet and professional—comfortable handling confidential information
- Able to work independently, juggle priorities, and make decisions on the fly
- Bonus: familiarity with the mental health or healthcare industry
- Bonus: graphic design skills (Canva, Adobe Express)
