About the role
As a Bookkeeper you will manage the financial records of two small businesses and personal accounts. This remote role requires comprehensive bookkeeping experience, from daily transactions to financial reports and tax document preparation. The ideal candidate is proactive, tech-savvy, and comfortable using modern tools and AI, including ChatGPT, to enhance efficiency. Confidentiality and integrity are essential.
Key Responsibilities
Monthly Duties:
- Reconcile bank, digital payment (Venmo, etc.), credit card, and loan accounts.
- Manage accounts payable (vendor invoices, recurring expenses).
- Manage accounts receivable (track payments, follow up on overdue accounts).
- Perform cash flow forecasting for businesses and personal accounts.
- Organize tax documentation for quarterly and annual filings.
- Track royalty income and related documentation.
- Prepare monthly financial reports and dashboards.
Quarterly Duties:
- Collaborate with tax professionals for accurate filings (corporate, personal, etc.).
- Review and adjust budgets and forecasts.
- Audit financial records for discrepancies.
Annual Duties:
- Prepare year-end tax documents and liaise with CPA or tax preparer.
- Assist with annual financial planning and budgeting.
- Coordinate with auditors (if needed).
Additional Responsibilities:
- Maintain organized digital and physical financial records.
- Manage employee expense reimbursements (if applicable).
- Manage payroll processing and related tax filings (if required).
- Maintain insurance records and track renewals.
- Ensure compliance with financial regulations and policies.
- Utilize AI tools (ChatGPT, Excel automation, accounting AI) to improve reporting and streamline tasks.
- Provide ad-hoc financial analysis and support.
- Maintain confidentiality.
Skills
- 5+ years of full charge bookkeeping experience (personal and small business).
- Proficiency in QuickBooks Online and Microsoft Excel/Google Sheets.
- Familiarity with digital payment platforms.
- Experience with financial forecasting and cash flow management.
- Knowledge of tax requirements and compliance (US tax knowledge a plus).
- Experience with ChatGPT and other AI tools (Microsoft Copilot, QuickBooks AI, Zapier).
- Strong attention to detail and problem-solving skills.
- Ability to work independently and meet deadlines.
- Strong English communication skills.
- Experience with royalty income tracking (preferred).
Preferred Qualifications:
- Remote work experience with US-based companies.
- Familiarity with international banking and currency conversions.
- Basic payroll and employee benefit administration knowledge.
- Experience using automation tools.
