Overview
As Chief of Staff you will be the operational backbone of the company, ensuring smooth day-to-day operations while proactively optimizing processes to scale efficiency.
You’ll work closely with the founder, providing executive support, managing financial and legal operations, and ensuring key administrative functions are executed flawlessly.

Responsibilities:
- Strategic Oversight & Ownership
- Own all back-office operations, ensuring efficiency across administrative, financial, and legal functions.
- Develop and implement scalable operational systems, continuously refining workflows to improve efficiency.
- Proactively identify opportunities to leverage AI & automation, developing briefs and working with external partners to execute solutions.
- Act as a trusted right hand to the founder, protecting their time and ensuring seamless execution of high-priority initiatives.
- Financial & Legal Management
- Client Billing & Invoicing – Send invoices, track payments, and handle client billing questions.
- Expense & Bookkeeping Management – Monitor expenses, flag irregularities, negotiate vendor rates, and maintain financial records.
- Payments & Contractor Management – Oversee payments to contractors and ensure financial obligations are met on time.
- Tax & Compliance Support – Gather and organize necessary documents for tax filing ie. organization and retrieval of K1s, 1099s, invoices etc..
- Contract & Vendor Management – Organize legal materials, track NDAs and contracts, and leverage AI tools for review and negotiation.
- Create systems to keep track of contracts and agreements
- Use chat GPT to analyze contracts for risks and flags and share first pass with CEO for final approval
- Executive & Team Enablement
- Calendar & Inbox Management – Own the founder’s schedule, anticipate needs, and ensure smooth coordination. Monitor, tag, delegate, and filter emails, draft responses, and generate templates as needed.
- HR & Culture Building – Act as an HR liaison for the team, proactively finding ways to support the team and make them feel valued. Extend the same mindset to client relationships.
- Assist in onboarding and payment of new employees and contractors – ie. purchase onboarding technology and packages, send birthday reminders & gifts, organize and distribute onboarding training materials, maintain company handbooks, assist in coordination company events and offsites, keep track of industry events and coordinate work travel.
Requirements
- 5+ years of experience in operations, executive support, or business administration.
- Experience with financial processes, including invoicing, bookkeeping, and expense management.
- Project management experience – Proficiency in tools like Asana, Trello, ClickUp, or Notion to manage tasks and optimize operational efficiency.
- Advanced English skills
