About the role
As a detail-oriented Sales Manager Assistant to support our sales efforts and help bring our clients’ wedding dreams to life. This role may evolve to include some customer-facing duties. will work closely with our Sales Manager and in turn the regional General Managers, and be responsible for supporting the sales process from initial inquiry through to contract completion.
Key Responsibilities
Administrative Tasks:
- Provide administrative support to the Sales Manager and sales team, including scheduling client meetings, maintaining sales documentation, and possibly assisting with event logistics.
- Assist with any additional tasks or projects as needed to support the overall sales function.
Proposal Creation & Sales Support:
- Create customized entertainment proposals based on client preferences,including DJs and live music.
- Ensure proposals are clear, comprehensive, and aligned with the client’s vision and budget per the Sales Manager’s instructions.
- Follow up with clients regarding proposal feedback and any necessaryadjustments to finalize packages if necessary.
Contract Management & Coordination:
- Draft, review, and manage contracts for weddings and events, ensuring terms and details are accurate, clear, and aligned with the client’s requirements.
- Ensure timely contract signings and that all documentation is properly filed for future reference.
- Coordinate with the internal logistics team to ensure a seamless experience for clients, ensuring everything from music selection to equipment is prepared and ready for each event.
Sales Process Management:
- Input detailed client and event information into the CRM system to maintain up-to-date records and ensure proper follow-through.
- Track and manage leads through the sales pipeline from initial inquiry to the contract stage, ensuring all steps are followed and deadlines met.
Problem Resolution:
- Proactively address potential issues related to event logistics, equipment, or scheduling in advance to prevent disruptions.
- Address customer issues or concerns promptly, ensuring a positive resolution, and escalate more complex problems to the Sales Manager as necessary.
Customer Support & Relationship Management:
- Provide excellent customer service via email or over the phone in support of the Sales Manager.
- Respond to inquiries and resolve questions or concerns in a timely and professional manner.
- Build and maintain strong relationships with legacy planners while actively fostering relationships with new clients to ensure customer satisfaction.
Skills
- Proven experience in an administrative role, preferably in a sales or service environment.
- Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in Google Workspace, and experience with CRM software or sales tools (e.g., Streak, Notion, Calendly, Dropbox) is a plus.
- Ability to work collaboratively with team members and independently when required.
- High attention to detail, ensuring accuracy in contracts, proposals, and event logistics.
- Problem-solving abilities with a positive, solution-oriented mindset.
- Customer service mindset to ensure any potential communication with clients or vendors is professional, kind, and timely.
Working Hours
- From Monday to Friday, 10AM - 5PM PST.
