Job Overview
Our client, a leader in healthcare management and concierge healthcare services, is hiring an Executive Assistant. This role involves providing high-level administrative support to senior leadership, managing schedules, handling correspondence, and ensuring smooth daily operations. The ideal candidate is highly organized, proactive, and capable of handling multiple priorities efficiently.
Job Responsibilities
- Manage and triage email inboxes, flagging urgent matters and handling administrative tasks.
- Maintain and coordinate complex calendars, scheduling meetings, and organizing travel arrangements.
- Track and manage projects using a project management app.
- Assist with both professional and personal relationship management, including sending gifts and updating the CRM.
- Prepare documents, reports, and presentations as needed.
- Plan and coordinate events and meetings.
- Support the leadership team in achieving their business goals by managing priorities and deadlines.
- Work closely with home staff and personal assistants to ensure seamless day-to-day operations.
- Provide administrative support for recruiting, research, and operational needs.
Must Haves
- Proven experience as an Executive Assistant or in a similar professional support role.
- Ability to work independently with minimal supervision.
- Strong organizational and multitasking skills with great attention to detail.
- Excellent interpersonal and communication skills, with the ability to build rapport quickly.
- Proficiency in technology tools such as Google Suite, Slack, Notion, and CRM systems.
- Proactive and solution-oriented mindset with a strong sense of accountability.
Nice to Have
- Experience working directly with C-level executives or high-net-worth individuals.
- Background in the medical field or familiarity with medical terminology.
- Experience as a medical assistant or in healthcare administration.
- Prior experience in recruitment and research.
- College degree preferred.
