Overview
As Sales Operations Specialist, you will own the organization, execution, and optimization of our outbound sales process—from research and outreach to tracking and follow-ups. Working directly with the CEO and Chief of Staff, you’ll be responsible for identifying potential clients, managing introductions, and ensuring deals move efficiently through the pipeline.
This isn’t just an administrative role. We’re looking for someone who can manage up, proactively identify improvements, and build systems that increase efficiency without sacrificing accuracy. The ideal candidate is detail-oriented, proactive, and coachable—someone who thrives in a fast-paced, high-volume environment and is excited to build processes that scale.
Responsibilities:
Prospecting & Lead Research:
Use Clay and Google Sheets to build, validate, and refine lead lists based on our target accounts.
Research LinkedIn networks of key contacts to identify relevant prospects.
Utilize scraping tools like Phantombuster or Dux-Soup to extract and automate lead data collection.
Ensure high accuracy in lead selection and data validation to prevent wasted outreach.
Outreach & Follow-Up Management
Draft personalized outreach emails based on templates, adapting messaging based on research.
Track outreach progress, ensuring no follow-ups slip through the cracks.
Organize and manage all communications and deliverables from first outreach to close.
Proactively refine outreach strategies based on response rates and conversion data.
Pipeline & Process Optimization
Maintain accurate and up-to-date records in Google Sheets for tracking intro requests, responses, and conversion rates.
Identify bottlenecks and inefficiencies in the sales process and propose solutions.
Balance efficiency and organization—ensuring systems scale without adding unnecessary complexity.
Make informed judgment calls when processes are missing or ambiguous while following SOPs.
Performance & Accountability
Manage up: proactively update the CEO and Chief of Staff on progress, challenges, and next steps.
Hit key targets, including the number of mutual intro requests, intros made, demo calls booked, and conversion rates.
Take full ownership of ensuring prospects move efficiently through the pipeline.
Requirements
4-6 years of experience in sales operations, lead generation, or sales research.
Strong proficiency with Clay, LinkedIn, and Google Sheets for lead generation and tracking.
Experience using scraping tools such as Phantombuster or Dux-Soup to automate and optimize lead research.
Highly coachable, fast-paced, and self-motivated—able to learn quickly and take ownership of processes.
Detail-oriented with excellent written communication—able to draft clear, concise, and engaging outreach emails.
Problem-solver with strong judgment—able to troubleshoot issues and bring well-thought-out solutions.
Capable of managing up—keeping leadership updated and ensuring they have what they need to make decisions.
