Overview

The Executive Remote Assistant will offer high-level administrative support to our team, ensuring the efficient execution of daily operations. This role requires an individual who is proactive, exceptionally organized, and detail-oriented, capable of managing multiple responsibilities effectively in a remote environment.

Responsibilities:

• Administrative Tasks: Perform various administrative duties such as maintaining accurate data entry for customer lists, work orders, CRM management and other critical information.
• Field Coordination: Connect with field technicians as needed to ensure seamless communication and operational efficiency.
• Reporting: Submit quarterly IFTA mileage reports, biweekly workers' compensation reports, and ensure accurate and timely data entry for customer lists and work orders.
• Schedule Collaboration: Collaborate on scheduling to optimize field technician availability.
• Invoicing: Assist with invoicing processes and ensure accurate billing information.

Requirements

• 3+ years of minimum experience as an executive assistant or in a similar administrative role.
• Experience supporting email account
• Familiarity with CRM systems and other administrative tools is a plus
• Soft skills: 
  • Strong organizational and time-management skills
  • Excellent verbal and written communication abilities
  • High accuracy and attention to detail
  • Proactive problem-solving and analytical skills
  • Experience coordinating with field technicians and understanding operations
• Advanced English
