Company Overview
This company provides comprehensive accounting, bookkeeping, and payroll services to small businesses in the US.
As an Executive Support Specialist, you will collaborate with the owner and team to align operational strategies with the broader business goals. This is a hands on position that will plan and implement several projects as well as assisting in general workflows to ensure smooth operations. Additionally this position will assist with basic administrative work as needed.
Responsibilities:
- Collaborate with the owner to manage daily operations and identify process improvements to achieve company goals.s and ensure smooth workflow.
- Oversee client satisfaction processes, including scheduling surveys and follow-up calls.
- Assist in the implementation and oversight of operational policies and procedures.
- Manage specific projects, ensuring timely completion and adherence to company standards.
- Provide administrative support, including managing schedules, emails, and documentation.
- Take ownership of tasks and ensure they align with the company’s mission and goals.
- Act as a liaison between the owner and other team members, providing clear communication and support.
- Facilitate meetings as needed, keep meetings on-track, record assignments and next steps, send recap to team members
- Assist with marketing plan development and implementation, draft client facing emails and text for marketing efforts.
- Managing Contracts and renewals with Ignition
- Assist with leads to sales process tracking progress, updating timelines and work plans, and assisting clients to complete sales process.
Qualifications:
- 3-5+ years of experience in a similar role, preferably in an operational or administrative capacity.
- Understanding of accounting and bookkeeping workflows enough to discuss with clients and assist with internal improvements
- Strong organizational and project management skills with the ability to break down a process into steps.
- Excellent communication and interpersonal abilities with the ability to sound genuine while maintaining professional boundaries.
- Professional and technical writing skills
- Proactive, critical thinker with a problem-solving mindset.
- Ability to work independently and manage multiple tasks simultaneously.
- Comfortable with remote work and proficient in using digital collaboration tools.
- Google Workplace, Calendly, Excel/google worksheets, Editing PDF’s, e-signatures
Bonus skills:
- Comfortable making short loom videos to explain processes
- Ability to mock up handouts for clients
- Experience creating work-flow diagrams
- Karbon, Ignition contracts, QBO, Gusto, Track1099, HubSpot
Working Hours: We are open to both full-time and part-time candidates.
Applicants must be available to overlap with the core hours, ensuring at least 5 hours of availability between 9 am and 5 pm PST. Flexibility is encouraged.
Compensation:
- Part-time employees: $1,000 to $1,500 per month
- Full-time employees: $1,500 to $2,000 per month
