About the role
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to their executive team. The ideal candidate will be adept at managing multiple tasks, prioritizing deadlines, and maintaining confidentiality in a fast-paced environment. The Executive Assistant will serve as a vital liaison between the executive, internal departments, and external stakeholders, ensuring smooth communication and efficient operations.
Primary Responsibilities:
- Manage executive schedules, appointments, and travel arrangements.
- Prepare meeting materials and reports.
- Prioritize and respond to incoming communications.
- Maintain accurate records and databases.
- Conduct research and gather data for projects.
- Handle document workflows, including drafting and distributing communications.
- Serve as the main point of contact for internal and external stakeholders.
- Represent executives in meetings and follow up on action items.
- Assist in planning and executing special projects and events.
- Coordinate with teams to meet project milestones.
- Monitor project timelines, budgets, and resources, providing updates to executives.
Skills
- 4+ years of experience, ideally supporting C-suite executives.
- Strong organizational and time management skills.
- Excellent communication abilities, both written and verbal, with a professional demeanor.
- Ability to handle sensitive information with discretion and confidentiality.
- Adaptability to changing priorities and ability to work effectively under pressure.
- Proficiency in spoken and written English.
- Familiarity with Google Suite.
- A Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
- Proficiency in French is a bonus.
- Comfortable with handling pressure.
