This is a remote role to work for our client, a carbon-neutral company from the US with the goal to provide water to help people live healthy, sustainably, and ethically. They are seeking an experienced and dynamic Executive Assistant to provide comprehensive support to their CEO, who oversees multiple companies.
Note: this is a remote, contractor role.
Key Responsibilities:
- Calendar Management:
- Effectively manage the CEO's complex and ever-changing schedule, coordinating internal and external meetings, conferences, and appointments across multiple time zones.
- Anticipate scheduling conflicts and proactively resolve them, ensuring the CEO's time is optimized.
- Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and any necessary documentation.
- Provide detailed itineraries and travel support to ensure smooth and efficient trips.
- Communication Liaison:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage and prioritize emails, phone calls, and other forms of communication, ensuring timely responses and effective communication.
- Information Management:
- Organize and maintain confidential files, documents, and records.
- Conduct research and compile information as needed for meetings, presentations, and reports.
- Meeting Preparation and Support:
- Prepare agendas, materials, and presentations for meetings attended or led by the CEO.
- Take detailed meeting minutes, distribute action items, and ensure follow-up on key decisions.
- Project Coordination:
- Assist in coordinating and tracking projects across various companies, ensuring deadlines are met and objectives are achieved. PMP certificate preferred. PM Software experience preferred.
- Collaborate with team members to facilitate project-related tasks.
- Strategic Partner:
- Assistant will serve as a strategic partner and must be a pro-active partner to help hold the CEO accountable, improve in his personal and professional goals, and achieve long- term strategic goals.
Requirements:
- Bachelor's degree in Business Administration or a related field (nice to have)
- Proven experience as an Executive Assistant supporting C-level executives, preferably in a multi-company environment.
- Experience in travel coordination.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Discretion and ability to handle sensitive information with confidentiality.
- Strong problem-solving skills and ability to make informed decisions.
- Flexibility to adapt to changing priorities and work outside regular business hours when necessary.
- Availability to work during PST hours (passively online from 9 am - 9 pm).
