The Staff Accountant is responsible for following the standards for processing and
implementing the day-to-day transactional accounting to produce complete and accurate financial statements. The Staff Accountant is required to build and maintain positive relationships with clients, clients’ staff, co-workers, and managers. Understanding source documents, inputting them and filing them correctly is a key part of the Staff Accountant’s job. Using critical thinking and having a proficiency in intermediate accounting, the Staff Accountant is responsible for the accurate data entry of all transactions into the accounting system.

Ongoing tasks:
Maintain confidentiality and privacy information and passwords for account access
Maintain the company's Way filing system for all source documents, contracts, etc.
Maintain customer and vendor lists
Keep processes documented and up-to date for procedures at your level and suggest process updates to the Accounting Manager
Look for ways to cut costs and improve profitability
Learn and master the client’s accounting software program
Responsible for learning new accounting programs & tools and researching accounting rules
Always on the lookout for any fraud that might be occurring and report it immediately
Review transactional data in accounting system and report irregularities to Accounting Manager
AP:
Maintain an accurate AP tracker as invoices are received from vendors throughout the month
Pay bills, print checks, and follow the company's Way source document process
Maintain up-to-date customer lists with correct contact information
AR:
Reconcile the receipt of payments to source documents and process deposits
Perform collection duties per the collections process
Create invoices (per the source documents) and deliver invoices per client’s schedule
Payroll:
Help prepare payroll for the Accounting Manager to finalize and process
Prepare and Reconcile payroll according to Client payroll schedule
Reconcile all employee reimbursements from source documents
Credit Cards:
Enter credit card transactions
Collect and reconcile credit card receipts to credit card transactions
Cash & Banking:
Reconcile cash, electronic, credit card and banking transactions to source documents
Immediately address any discrepancies with the Accounting Manager
Reconcile inter-company billings (where applicable)
Month-End Close:
Prepare journal entries for monthly G&A allocations
Create a draft of the financials that includes notes and updates for the Accounting Manger’s review and be sure to hit the due date that is assigned by the Accounting Manager and Controller
Reconcile all Balance Sheet accounts in month-end workbook to source documents and subledgers
Review all notes and reconcile to the source documents (contracts, leases, etc.)
Quarterly Tasks:
Review of new vendors for 1099s
Review all processes and procedures and provide suggestions for improvement
Prepare quarterly sales tax journal entries
Update all process documents as process changes happen, if needed
Annual Tasks:
Prepare and send 1099 and 1096 forms to IRS by January 25th
Bachelor's degree in accounting or related field
3+ years of experience in a similar role
Proficient in bookkeeping and accounting principles
Detail-oriented with excellent organizational skills
Strong English communication and interpersonal skills
Ability to work independently and as part of a team
Familiarity with accounting software and tools
