The Executive Assistant provides high-level administrative support to the account team in day-to-day operations in an effort to deliver on client objectives, prepare reports, handle information requests, and perform clerical functions such as preparing communications, arranging conference calls, and scheduling meetings. This role requires a high degree of professionalism, strong communication skills, and the ability to multitask and prioritize.
Coordinate and manage the Account Executive's calendar, including scheduling and arranging appointments and meetings.
Prepare agendas and arrange logistics for meetings and events, including coordinating with other departments or external partners.
Compile data and prepare reports for the Account Executive and executive team.
Create and maintain filing systems, both electronic and paper, for executive documents and correspondence related to client accounts.
Respond to and direct inquiries from internal and external stakeholders, including clients and partners.
Draft and proofread emails, memos, and other correspondence related to client accounts.
Track budget expenditures for client accounts and assist with budget preparation and forecasting.
Create and maintain spreadsheets and presentations using Microsoft Word, Excel, and PowerPoint for client presentations and reports.
Maintain excellent organizational skills, attention to detail, and time-management skills
Provide administrative support for special projects and initiatives as needed.
Bachelor’s degree in business administration or related field preferred.
Proven experience (2+ years preferred) as an executive assistant or similar administrative role.
Excellent organizational and time-management skills.
Proficient in English.
Strong communication skills, both verbal and written, with the ability to interact with over 20 community partners.
Proficient in Microsoft Office, Excel, Powerpoint and Google Suite.
Flexibility and adaptability to changing priorities and tasks.
