Position Summary  

This position will perform weekly tasks to close out the books for a set number of different clients ensuring deadlines are met and the books are accurate.  Other duties include interacting with clients by phone, email and video calls and problem solving of accounting and quickbooks issues in a timely manner as they arise. 

 

Essential Duties & Responsibilities  

  • Maintain several client accounts and deliver on the following - o Accounts Receivable Management:

▪   Direct the regular preparation and delivery of invoices. Manage the receivables collection process and administer customer contracts. Maintain active tracking of receivables with communication to management.

  • Accounts Payable Management:
    • Manage paperwork associated with vendor billings and payments. Administer subcontractor contracts and ensure timely payments for services. Oversee the arrangements with suppliers, vendors, and service providers and ensure timely payments. Oversee company loans, leases, and credit cards, and ensure proper and timely payments.
  • Payroll and Benefits Administration:
    • Direct the collection and processing of time and expense reports. Coordinate payroll processing with outside payroll processing provider. Track and administer company's vacation and time off policies. Manage the company's health and dental insurance program. Administer state and federal regulatory reporting and maintain employee records.
  • Month-end Close/Reporting:
    • Reconcile cash and other balance sheet accounts. Update supporting schedules and prepare and post journal entries. Prepare financial statements and management reporting. Meet all weekly and monthly deadlines set.
  • Communication/Deadlines:
    • Communicate in Slack, by phone or video meeting on client open items to resolve issues. Ability to resolve accounting and quickbooks issues in a timely manner using your expertise in accounting knowledge and quickbooks experience.
    • Communicate with the clients’ CPA on any tax issues that come up during the year.
  • Team Interaction:
    • Be proactive, be a resource, and train other team members on accounting and or quickbooks issues when they arise.
    • Schedule and train new team members regarding company process and procedures including being a resource to assist new team members in delivering accurate deliverable to clients.
  • Client Interaction and Problem Solving:
    • Answer e-mails and phone calls from clients who have questions about their accounting and/or reports. Meet with clients by phone or web meeting to go over process updates or open items. Check e-mail and slack regularly and fill requests for reports or information during the day as needed. Must be available to respond to urgent requests from clients that need to be handled during central time working hours.  Be proactive on offering our tech stack of apps that can help with the back-office efficiency of our clients.
  • Report to Manager:
    • Meet with manager on a weekly basis by video call. Report deliverables status on client deadlines, work tasks, and scope creep issues.
  • Sales Tax submission:
    • Prepare sales tax returns and submit online for clients with their approval.
  • 1099s:
    • Prepare 1099s for clients at year end.

  • CPA Firm Experience
  • 5+ Years QuickBooks Online Job Experience

 

        •    EDUCATION 

o Bachelor's Degree, accounting, business, or related certification o QuickBooks Online Certified

 

  • TECHNICAL SKILLS o QuickBooks Online Certified

Work Hours/Schedule

The work schedule is 8am – 5pm central standard time.  Arrangements can be made outside of this schedule to account for different time zones if needed but the candidate must be available during central time hours.
